Position Overview


Haven & Ken Neyer Plumbing is seeking a highly organized, detail-oriented Administrative Assistant to Project Managers to support our New Construction Project Management team.


This role is critical to the success of our projects. The Administrative Assistant provides day-to-day administrative, documentation, and coordination support so Project Managers can focus on execution, scheduling, and client relationships.

Requirements

 Key Responsibilities

  • Provide direct administrative support to multiple Project Managers
  • Organize and maintain project files, permits, contracts, drawings, and documentation
  • Assist with job start-up documentation and ensure required paperwork is complete and current
  • Prepare, submit, and track product submittals and approvals
  • Issue purchase orders and track material deliveries
  • Assist with change order documentation and AIA billing preparation
  • Maintain job cost records and support cost tracking as directed by Project Managers
  • Coordinate communication between Project Managers, foremen, vendors, and subcontractors
  • Prepare meeting agendas, meeting notes, and project reports
  • Review and organize daily reports, safety documentation, and cost reports
  • Assist with project closeout documentation, including as-builts, warranties, and O&M manuals
  • Maintain accurate records within construction management software and internal systems
  • Perform additional administrative and coordination tasks as needed

Qualifications

  • Strong administrative, organizational, and time-management skills
  • High attention to detail and ability to manage multiple priorities
  • Comfortable working with technology and learning new software systems
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Prior experience in construction, project administration, or professional office support preferred
  • Ability to communicate clearly and professionally, both written and verbal
  • Team-oriented mindset with a strong service and support ethic

Construction or plumbing industry experience is helpful but not required. Training will be provided.
