Her PLAN is a project to of the Susan B. Anthony Education Fund dedicated to growing the safety net of resources that help women make a plan for their future without resorting to abortion. The Her PLAN pro-life safety net consists of charities, ministries and community organizations that address the underlying challenges that cause them to consider abortion. Our role is to connect resources to each other through our directory, identify gaps in the pro-life safety net, use our Pathways Guide to help communities fill those gaps, inform lawmakers about the most pressing needs and share the stories of those who were empowered to choose life.
The Administrative Manager provides administrative and operational support to the Executive Director. This is a highly confidential role in a fast-paced environment. The Administrative Manager must be an extremely well organized and professional individual with strong time-management and communication skills, excellent discernment, enthusiasm for constant improvement, and a passion for the pro-life cause.
This is a full-time position in our Arlington, VA office. This role will report to the Executive Director.
Essential Functions
- Provide administrative and project support to Executive Director including, but not limited, to preparing materials for daily meetings, reconciling expenses, deadline oversight, and providing meeting support (task tracking, meeting minutes, etc.).
- Manage the Executive Director’s schedule, travel and expenses.
- Support Executive Director in cultivating donor relationships including timely communication, recordkeeping and appointments.
- Serve as a liaison to Her PLAN team leads providing the Executive Director with accurate, well-researched information in a clear and concise manner.
- Prepare budget reports as directed using Excel.
- Track action items to manage and ensure appropriate and timely follow up on internal and external requests for information or decisions. Triage as necessary.
- Her PLAN Project Management. Keep current accurate data for all Her PLAN deliverables using Excel, Leadr and HubSpot data sources. Provide weekly reports.
- Manage Her PLAN staff training and weekly all staff meetings.
- Organize all logistics (lodging, food, materials) for tri-annual team “collaboratives” for multiple Her PLAN teams. Coordinate with Human Resources for content/leadership.
- Inventory and ship printed materials from HQ to remote staff.
- Safeguard confidential information about the Organization, its donors, and all operational procedures and strategies.
- Prioritization – employee should be able to prioritize the most important requests and needs to communicate appropriate urgency to the Executive Director, while proactively anticipating potential needs and making arrangements to address them beforehand.
- Trustworthy & Discrete – employee must handle and secure sensitive personal and financial information.
- Detail-oriented – employee must be thorough when performing work and strive to achieve accuracy and consistency in all tasks.
- Flexibility – employee must be comfortable with ever-evolving plans and projects and have the ability to pivot and improvise solutions.
- Problem Solver – Ability to manage and resolve personnel issues and provide solution to difficult situations, while to remaining calm under pressure and responding professionally with a service minded approach during times of uncertainty or stress.
- Initiative – employee should be proactive in their work and decision making. They are expected to find ways to be of assistance There are no supervisory responsibilities for this position and keep trains moving on programmatic goals.
- Adaptability – employee must be able to adapt to changes and deal easily with managing unexpected events. Multi-tasking and flexibility are a must.
Supervisory Responsibility
This position may supervise an intern or interns.
Work Environment
This position is headquartered in our Arlington, VA office. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
Physical Demands
Must be able to perform essential duties satisfactorily with reasonable accommodations.
Work is generally done sitting, talking, hearing, and typing.
May be required to lift objects up to 20 lbs.
Position Type/Expected Hours
This position is a full-time position. Hours are typically 8:30 AM – 5:30 PM, Monday-Friday.
Some weekend and evening work may be required.
Travel
This position does not require travel outside of the Washington, DC area.
Required Education/Experience
