We are seeking a Legal Team Assistant to support the legal and contracts function within RIOS firm by assisting with contract administration, compliance, and risk management activities. This role works closely with the legal team to ensure contracts, agreements, and legal documentation are accurate, organized, and aligned with firm policies and industry standards.
This position is in the LA office or Remote.
Key Responsibilities
- Enter and validate contract data in Vantagepoint, ensuring accuracy and completeness of all required fields
- Monitor contract execution status and proactively follow up with internal teams to collect missing signatures and documentation
- Organize and maintain digital records with accurate naming conventions, including filing certificates and contract documents in designated folders
- Input data for internal reports and assist with data collection as requested
- Retrieve records to support internal and external audits
- Provide general administrative support including correspondence and document management
- Assist with additional tasks as needed
- High school diploma or equivalent required; associate’s degree, or bachelor’s degree
- 3+ years of experience in a legal, contracts, or administrative role
- Strong attention to detail and organizational skills
- Proficiency in Microsoft Office Suite and document management systems
- Excellent written and verbal communication skills
- Ability to manage multiple deadlines in a fast-paced, project-based environment
- Professional demeanor and discretion when handling confidential information
- Experience working in an architecture, engineering, or construction (AEC) preferred
- Familiarity with AIA contract documents and consultant agreements preferred
