Job Summary

As a Senior Implementation Consultant at PCS Retirement, you will be responsible for overseeing the seamless implementation and conversion of high-level, white label various retirement plan types. This role demands an expert-level understanding of retirement plan regulations and the ability to manage complex projects without gaps or missed timelines. You will serve as a key liaison among clients, advisors, TPAs, and internal teams, ensuring the highest standards of service and client satisfaction.


Job Responsibilities

  • Demonstrate in depth knowledge of the retirement industry and requirements for administering the various retirement products.
  • Demonstrate a thorough understanding of the company’s operational processes and consistently follow them.
  • Provide a high level of customer service, build relationships to ensure retention, and facilitate organic growth.
  • Adhere to established SLA during the implementation not limited to milestones and SalesForce cases. 
  • Manage the day to day Administration/Implementation process of clients across various product lines (401k, 403(b), IRA, 457, Mergers, Acquisitions) and prioritize their needs.
  • Gather plan documents for conversions and facilitate their review by the plan documents team.
  • Conduct  status meetings with plan sponsors, which may be required weekly, biweekly, or monthly, depending on client/advisor needs.
  • Actively communicate with clients, advisors, TPAs, and prior record keepers, ensuring clear expectations and timely updates.
  • Analyze deliverables and timetables to develop detailed project plans, considering SOX blackout and plan effective dates.
  • Ensure the accuracy of regulatory notices and enrollment materials and their distribution to participants.
  • Provide training to the Payroll Contact/Sponsor/Advisor/TPA on the recordkeeping system, going over the roles and responsibilities and reviewing features. 
  • Conduct first payrolls and client payroll setup and complete retro recordkeeping as needed.
  • Oversee the transition of funds out of blackout periods, initiating extension notices when necessary.
  • Facilitate the collection and processing of conversion data, emphasizing zero-error quality checks and trust reconciliation.
  • Address and resolve data conversion issues effectively, maintaining client satisfaction and positive relationships.
  • Delegate  and monitor record-keeping setup, asset transfer, allocation, and first deposits, including integrating and mapping payroll files with the Integration Team.
  • Ensure white labeled clients processes are followed throughout implementation.
  • Responsible for processing transactions for money movement and trade corrections and payroll file processing assistance, as well as updating fund fact sheets and enrollment guides. 
  • Assist Management in identifying procedures and policies that are outdated or ineffective and provides suggested improvements.
  • Demonstrate efficiency and flexibility in performing detailed transactions in a fast-paced work environment with frequent interruptions and competing priorities.
  • Conduct  themselves professionally and partners with upper Management accordingly.
  • Perform other duties and responsibilities as assigned
Requirements
  • 5–10 years of progressive experience in client relationship management, retirement plan implementation, or recordkeeping operations, with a consistent record of managing complex or high-profile plan conversions.
  • Bachelor's degree is preferred but not required.
  • Prior leadership or mentorship experience within an implementation or operations team is strongly preferred, including conducting regular work overview meetings with consultants to review progress, ensure alignment with objectives, and provide guidance or feedback as needed.
  • Actively pursuing or holding retirement industry designations (RPF, QPA, QKA) is strongly encouraged.
  • Expertise in retirement plans, including 401(k), 403(b), 457, Mergers & Acquisitions, with the ability to act as a strategic partner to clients and advisors.
  • Direct experience overseeing white label services or managing customized plan implementations end-to-end.
  • Demonstrated ability to lead meetings with C-suite executives, resolve escalations independently, and guide process enhancements.
  • High level of accountability and ownership of assigned relationships
  • Strong organizational and time management skills to prioritize workflow and ensure duties and projects are completed by deadlines
  • Reasoning and problem-solving skills to research and resolve general problems
  • Technical proficiency and highly adaptive to learning and working in multiple systems.
  • Proficiency in using required software applications, including Adobe, Relius, SalesForce, Microsoft Office applications (specifically, Word, Excel, PowerPoint, and Outlook - Access is beneficial) necessary for creating documents, analyzing spreadsheets, and managing business correspondence
  • Communication skills and professional demeanor to interact with all levels of management, other associates, and counterparts at other firms
  • Work independently and in a team environment as well as support broader initiatives with guidance from a Supervisor
  • Work well under stress created by time deadlines, workflow volume changes, and telephone/associate inquiries
  • Learn and understand the various legal documents required by various companies in order to process client requests
  • Learn and apply new information, skills, and processes quickly, including the various regulations, back office systems, and plan document materials
  • Read and interpret financial statements, perform accurate data entry, 10 keys by touch, and type at least 30 words per minute


Remote Work Information

Compensation Information

The average salary for this position is expected to be between $65,000 and $85,000/year however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. We do not anticipate candidates to be paid at the top of the range however, from time to time, it may occur on a case-by-case basis.
