EPIARX Diagnostics is a private pathology practice based in Washington, DC, specializing in diagnostic and autopsy pathology, second-opinion consultations, and related services. Position Overview
We are seeking a Health Consultation Specialist to serve as a primary point of contact for individuals and organizations seeking EPIARX services. This is an in-person role based in Washington, DC and plays a critical front-end role in how clients experience our practice.
In this role, you will conduct structured, non-clinical consultations, gather medical and case-related intake information, explain EPIARX service options, and coordinate next steps in collaboration with our physician and administrative teams. You will help ensure that clients are guided clearly and compassionately through our intake and engagement process, while maintaining strict boundaries around medical advice and clinical decision-making.
This role does not provide medical advice, clinical opinions, or diagnostic interpretation.
Key Responsibilities
- Conduct scheduled consultations with prospective and existing clients via phone or video, using established consult frameworks
- Gather and document structured medical and case-related intake information without interpretation or clinical judgment
- Present EPIARX service options neutrally, including scope, process, timelines, and pricing, and escalate cases to the physician for service recommendations as appropriate
- Coordinate with the physician to confirm recommended services and overall case direction
- Confirm total service costs following physician recommendation and guide clients through next steps
- Prepare and send engagement and consent materials, and coordinate handoff to administrative staff for scheduling and logistics
- Serve as a primary client-facing contact throughout the early stages of engagement
- Conduct follow-up outreach to clients as appropriate to gather feedback and ensure a consistent client experience
- Maintain accurate and complete records of consultations, intake information, and outcomes within the EPIARX CRM
- Track and manage consult-related CRM data, including number of consultations completed, number of consultations converted to engaged cases, and number of consultations stalled or lost, with clear notes and context
- Collaborate with the Marketing Specialist to support CRM workflows, data quality, and continuous improvement of intake and consultation processes
- Adhere to all HIPAA, privacy, and confidentiality requirements
Qualifications
- Bachelor’s degree in Healthcare Administration, Business, Communications, or a related field preferred.
- 3–7 years of experience in healthcare administration, patient intake, consultation, or a related client-facing role
- 2+ years of consultative sales, client enrollment, or intake conversion experience, preferably in healthcare, diagnostics, or other high-trust professional services
- Prior experience working in a HIPAA-regulated environment strongly preferred
- Experience conducting structured consultations or intake conversations involving sensitive or emotional subject matter
- Demonstrated ability to guide consultation encounters through to an engaged client outcome by clearly explaining service options, process, timelines, and pricing, and by managing follow-up
- Strong verbal and written communication skills, with the ability to explain complex processes clearly and calmly
- High attention to detail and comfort working from defined SOPs and escalation protocols
- Experience using CRM systems to track client interactions and outcomes
- Ability to work independently while collaborating closely with physicians and administrative staff
- Professional judgment and comfort maintaining clear boundaries (including refraining from medical advice or clinical interpretation)
Sales/consultative enrollment experience is required; however, this is a high-trust, compliance-forward role and does not involve providing medical recommendations or clinical interpretation.
Compensation
- Base Salary Range: $60,000–$80,000 annually, commensurate with experience.
- This role may be eligible for additional performance-based consideration over time
