This role supports the day-to-day operations of the Alternative Investments team, with a focus on private fund operations, investor transactions, and data integrity. The position partners closely with fund administrators, custodians, advisors, and internal teams to manage alternative investment activity, maintain accurate fund and client data, and deliver timely communications. In addition to core operational responsibilities, the role contributes to new fund launches, documentation review, and continuous process improvements that enhance efficiency, risk management, and the overall advisor and client experience within the alternative’s platform.
Duties & Responsibilities:
- Support daily operations for private investment funds, including trade support, settlement, and reconciliations with custodians and fund administrators
- Process investor transactions including subscriptions, redemptions, retitles, transfers, capital calls, and distributions
- Serve as a point of contact for fund administrators, advisors, and internal department inquiries, supporting timely communication and coordination across teams
- Draft, review, and distribute limited partner communications related to fund performance, portfolio activity, operational developments, and ongoing updates received from fund managers
- Review and process alternative investment data for advisors and clients using various tools and systems.
- Prepare and distribute investor-facing materials, including marketing materials, pitchbooks, performance updates, quarterly reports, and any other communications
- Assist with new fund and product launches, including onboarding new funds, reviewing fund structures, and coordinating communications with LPs, custodians, compliance and internal teams
- Review and analyze fund documentation, including PPMs, LPAs, offering memoranda, and ongoing fund disclosures for existing and new funds
- Reconcile and validate data across multiple systems and data sources, including CRM platforms, custodians, administrators, and reporting tools
- Coordinate fund-related documentation with compliance to meet regulatory requirements and support operational risk controls
- Identify process gaps and participate in projects to automate workflows and improve operational efficiency
- Proactively identifies risks and opportunities for process improvements by leveraging a strong understanding of how workstreams impact other operational teams and the broader organization.
- Maintain and improve alternatives investment data operations workflow procedures
- Maintain clear, proactive, and effective communication with third-party service providers to support alignment, accuracy, and timely execution.
- Maintain and update standard operating procedures, policies, and internal documentation
- Private fund experience required, including hands-on exposure to private fund administration
- 1–3+ years of experience in alternative investments, private fund operations, investor relations, or a related role
- Understanding of alternative investment funds, private funds, structure and processes such as capital calls, client/fund onboarding, contributions, redemptions, and investor relations
- Previous hands-on exposure to fund related materials and agreements such as 1099, K1s, audit requests, etc.
- Degree in Business or investment or related field
- Strong communication skills, including written and verbal; Highly organized and proactive
- Ability to effectively coordinate and work closely with multiple team members with various backgrounds and skillsets, including internal and external stakeholders
- Ability to organize, prioritize, manage multiple tasks and keep team apprised on open items
- Experience with Salesforce, Addepar/Orion preferred
- Familiarity with Macros, VBA, and SharePoint are highly desired
- Familiarity with Excel and Excel functions, formulas, pivot tables
