Position Summary:
The Tax Licensing Analyst is responsible for transitioning and streamlining all tax-related licenses under the tax department at AdaptHealth. This position ensures the company remains in good standing with all federal, state, and local tax authorities by maintaining a comprehensive license calendar, processing renewals, and handling necessary license changes. The Tax Licensing Analyst serves as the primary bridge between the tax and licensing departments, ensuring seamless coordination to prevent any disconnect that could negatively impact credentialing or tax compliance. This role maintains accurate records of all tax-related licenses and serves as the subject matter expert for tax licensing requirements across all jurisdictions.
Essential Functions and Job Responsibilities:
- Oversee and update all tax-related licenses as needed to keep current with organizational updates, mergers, acquisitions, and business changes
- Ensure license renewals for expiring licenses are completed timely to avoid penalties, lapses in coverage, or compliance issues
- Maintain a comprehensive SharePoint site of all active tax licenses for the licensing department to access and reference
- Maintain and update a detailed tax license calendar including all relevant information such as expiration dates, renewal deadlines, filing requirements, and responsible parties
- Build and maintain a state-by-state quick reference guide documenting license requirements, application processes, renewal procedures, and jurisdiction-specific nuances
- Ensure local gross receipts filings align with necessary licenses and that all required licenses are in place for filing obligations
- Assist with Net Profits and other gross receipts filings as necessary, including OH CAT, KY LLET, and similar jurisdiction-specific returns
- Serve as the primary liaison between the tax and licensing departments to ensure seamless coordination and prevent any disconnect that could negatively impact credentialing or tax compliance
- Monitor and track all federal, state, and local tax license and registration requirements across all AdaptHealth locations and business entities
- Process new tax license applications and registrations for business expansions, acquisitions, and new entity formations
- Coordinate with state and local tax authorities to resolve licensing issues, respond to inquiries, and obtain necessary documentation
- Process and reconcile licensing fees and ensure accurate coding and payment of all tax licensing expenses
- Generate reports on license status, renewal schedules, and compliance metrics for management review
- Support tax audits by providing documentation related to tax licenses and registration
- Develop and maintain standard operating procedures and internal controls for tax licensing processes
- Maintains patient confidentiality and functions within the guidelines of HIPAA
- Completes assigned compliance training and other education programs as required
- Maintains compliance with AdaptHealth's Compliance Program
- Performs other related duties as assigned

Education and Experience Requirements:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field required
- Minimum of 2-3 years of professional experience
- Sufficient experience with Microsoft programs, primarily excel
- Healthcare industry experience is a plus but not required
- Knowledge of sales and use tax regulations and nexus principles preferred
- Experience working with state revenue department websites and online filing systems
- Experience with SharePoint or similar collaboration platforms for document management
- Familiarity with entity management and corporate compliance is beneficial
- Demonstrated ability to collaborate across departments and serve as a liaison between functional areas
Physical Demands and Work Environment:
- Occasional travel may be required for training or meetings (less than 10% of time)
- Standard business hours with flexibility required during month-end close periods or renewal deadlines
- Work environment may be stressful at times, as overall office activities and work levels fluctuate
- Must be able to bend, stoop, stretch, stand, and sit for extended periods of time
- Subject to long periods of sitting and exposure to computer screen
- Ability to perform repetitive motions of wrists, hands, and/or fingers due to extensive computer use
- Must be able to lift 30 pounds as needed
- Excellent ability to communicate both verbally and in writing
- May be exposed to frustrated stakeholders when licensing issues arise
