Job Summary

This position manages commercial loan administration, workflow, and staff oversight across the full loan lifecycle, including origination, regulatory compliance, closing, servicing, and maintenance of commercial and commercial real estate loans. The CLA Manager also establishes regulatory, policy, and customer service standards to ensure timely, exception-free loan closings, serves as liaison between loan administration, lending, credit, and compliance teams, and maintains and updates applicable procedures.

Essential Job Functions

  • Supervises the workflow of assigned Commercial Loan Administrators. Hires and manages staff. Establishes and reviews employee performance expectations and provides formal and informal feedback and coaching to staff, as needed. Identifies, addresses, and resolves employee relations issues. 
  • Assures commercial loan closings occur on time and in compliance with applicable policies and regulations.
  • Develops and maintains procedures. Guides staff on how to:
  • Approve all construction-related advances.
  • Perform quality control and submission of all Commercial Home Mortgage Disclosure Act (HMDA) loans to Loan Application Register (LAR). 
  • Approve Flood Insurance documents for loans falling in a Flood Hazard area. 
  • Approve fee funding sheets. 
  • Monitors and implements process changes required due to changes to compliance and federal regulations.
  • Creates, communicates, teaches, and assesses all operating policies, processes, procedures, and customer service activity in support of each business area within the Commercial Lending division.
  • Standardizes applicable loan processes throughout the Commercial Lending division. 
  • Creates automated solutions to efficiently track, manage, and report on related data that allows for streamlining processes and eliminating redundancies.
  • Systemizes tasks throughout the department and enhances support for Loan Officers, customers, and management using automation, when possible. 
  • Manages the administration and on-going maintenance of the Bank’s loan operating and commercial loan documentation systems, including workflow, document, and report change requests.
  • Work closely with internal and external auditors, preparing and presenting documents, as requested. 
  • Reconciles general ledger accounts, as assigned.
  • Follows up with loan officers as needed to address items in applicable tracking reports. 
  • Manages attorney list within the Commercial Lending division including required vendor management due diligence and gathering documents for approval. 
  • Collaborates with the Commercial Loan Servicing team to ensure core data and documents are consistent based on business strategy and regulatory compliance.
  • Actively stays current on all Bank products, services, procedures, policies, and applicable regulatory and compliance requirements by regularly attending team meetings, completing mandatory training on schedule, and applying knowledge to ensure accuracy and compliance in daily operations. 
  • Ensures adherence to federal and state laws, regulations, and bank policies by preventing violations, minimizing risks, and safeguarding the Bank’s interests. 
  • Verifies transactions and account balances, ensuring compliance with bank policies and state and federal regulations and the Bank Secrecy Act (BSA), as applicable to the role

Qualifications, Experience, and Education

  • High school diploma or equivalent.
  • Minimum of 5 years of experience in a professional office environment, preferably within a Commercial Lending related function (i.e., banking/financial services, attorney or real estate broker). 
  • Prior direct experience with real estate and loan documentation.
  • Prior experience with and understanding core processing systems preferred. 
  • Strong knowledge of general banking/lending concepts and principles.
  • Strong decision-making and oral and written communication skills.
  • Attention to detail.
  • Ability to work successfully with deadlines and time constraints.
  • Ability to learn basics of the Bank’s products and services, including loan and commercial deposit products. 
  • Professional demeanor and maturity to work closely with customers, employees, vendors, and members of the Board of Directors.

The salary range represents an estimate based on market data for this position. Final compensation decisions are made based on experience, skills, and internal equity to ensure fairness and consistency across our organization.
