Job Purpose and Objectives: 

Responsible for providing administrative and clerical support by filing court documents, preparing new cases and maintaining certified records for Montgomery County.

Position Requirements:

1. High school diploma or other equivalent

2. Criminal Justice experience or education preferred

1. Knowledge of Microsoft Office Suites and data software

Job Competencies: Essential Functions include the following. Duties and responsibilities, as required by business necessity may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing. Schedule and shift assignments and work location may be changed at any time, as required by business necessity.

  1. Drafts, files, and monitors court documents using the Kansas E-Filing system
  2. Files and tracks new cases, summons and arrest warrants
  3. Manages the Assistant County Attorney’s docket and caseload, which includes      handling 200- 250 active cases
  4. Imports and prepares new cases for the County Attorney to review and charge
  5. Tracks declination letters and distributes them to District Court, Montgomery      County Jail and referring law enforcement agencies
  6. Maintains strong relationships with law enforcement agencies and their records      clerks to ensure complete and accurate discovery is provided to both the      County Attorney and defense counsel
  7. Collaborates with defense counsel to provide discovery materials and secures approvals      for court document submissions
  8. Provides and requests information to/from Intensive Supervision Officers and Court      Services officers for defendants on probation, bond and diversion
  9. Works closely with District Court Clerks to prepare and organize court dockets
  10. Tracks down and obtains certified records from various states and ensures copies are      delivered to the County Attorney and defense counsel as needed
  11. Assists with answering phones, managing the office window and providing      non-confidential information to the public
  12. Maintains accurate case records in the PBK software system, ensuring timely updates      and correct case dispositions
  13. Enforces and maintains compliance with all federal, state and local laws and      ordinances
  14. Performs other duties as assigned or deemed necessary
  15. Complies with all organizational and departmental policies and procedures
  16. Operates all job-related equipment, machinery, tools and other aids as required or      needed
  17. Protects and maintains any confidential information you have access to, whether      oral, written, or electronic
