Core Objectives:
- Attorney Assistance. Provide support to attorneys in the Family Law Department.
- Client Experience. Execute and meet project deadlines to support the client experience in the Family Law Department.
- Firm Initiatives. Supports Firm initiatives by providing assistance with tasks and projects to other Paralegals. Execute other projects as directed by your Supervisor.
Typical Tasks:
What follows is a sample list of responsibilities in this role. This list is not intended to be exclusive but will identify some typical day-to-day tasks and projects.
Attorney Assistance:
- Track litigation process and assist with management of case.
- Track case deadlines, reminders, and other necessary dates with tickle system.
- Prepare first drafts of necessary case pleadings.
- Execute workflow to ensure that incoming and outgoing mail is timely processed and delivered to necessary parties.
- Assist with case coverage during Attorney absences. Coordinate with other Attorneys to provide assistance to clients and outside counsel.
- Provide support to attorney for their marketing, CLE, professional and bar-related committees work and activities.
Client Experience:
- Execute the intake workflow for potential new clients by phone and/or email to schedule them for a consultation with the appropriate attorney, including conflict check and entry; tracking down previous consult forms and resolve questionable conflict issues; inform potential clients if Firm cannot represent; and promptly scan attorney consultation notes and save to Zola Suite Lead.
- Execute workflow to open new client files.
- Maintain digital client files to include ensuring matter contacts are up to date.
- Maintain working knowledge of the client file.
- Provide information to clients (verbally and in writing) regarding status, track pending matters and documents. Provide information regarding procedures and explain processes.
- Meet with clients to review and sign documents as needed.
- Work directly with clients to complete necessary case-related forms and pleadings.
- Assist clients by troubleshooting questions/problems when Attorney unavailable.
- Take client phone calls, listen, and provide procedural information (gatekeeper duties).
- Schedule office and telephone appointments with attorneys.
Firm Initiatives
- Provide coverage for other Paralegals during absences or overloads.
- Miscellaneous related tasks/projects as assigned by the Director Legal Support Services & Development or Leadership or Management Team.
- Support other department staff to ensure that all goals and objectives are met in a timely manner.
- Enter time into billing system, as appropriate.
- Participate, when appropriate or necessary, in internal education opportunities, developmental trainings, and department meetings.
Experience
- 3-5 years assisting attorneys practicing Oregon and/or Washington Family Law.
- Position prefers, but does not require, a bachelor’s degree.
- Preference will be given to a candidate with experience in a private law firm.
Necessary Knowledge, Skills & Abilities
- Knowledge of local and state filing rules, procedures, and terminology.
- Ability to exercise and maintain a high level of confidentiality, discretion, judgment, and professionalism.
- Dedicated, positive, committed team player, but with ability to work independently as well.
- Must be detail-oriented, able to think critically and set high standards for accuracy in a high-volume, fast-paced environment
- Ability to proofread and edit spelling, punctuation, grammar and required language (content).
- Strong interpersonal, organizational, analytical, decision-making, and problem-solving skills are required with adaptability and the ability to change plans as needed.
- Possess effective and professional communication abilities, both verbally and in writing, in order to accurately and efficiently execute projects.
- Ability to manage multiple projects by self-prioritizing and follow-through in a fast-paced team environment and remain calm under stress.
- Must exhibit commitment to integrity and excellence.
- Comfortable developing interpersonal relationships with Attorneys and staff members.
- Must have demonstrated experience with Microsoft Office Suite, including Word, Excel, Outlook, Teams.
- Comfortable with technology and able to quickly learn new tools to include: Word, Excel, Outlook, Teams, SharePoint, Power Point, Adobe, Metro Fax, Caret Legal, and Net Documents and e-discovery platforms, and transcription machine.
