SUMMARY
The Senior Lead of Contract Administration plays a critical role in shaping and maintaining Nebraska Children’s contract and subaward processes. This position is responsible for creating, managing, and improving uniform procedures for all outgoing agreements—including contracts, subawards, MOUs, and specialized agreements. The Senior Lead oversees the full lifecycle of agreement development, from due diligence and drafting through execution, ensuring that all documents align with funding requirements and comply with federal and state regulations. This role also leads internal process improvements and oversees the effective use of the organization’s contract management system.
The Senior Lead also reviews all incoming agreements to assess risk and ensure organizational compliance. This includes evaluating terms, guiding staff on requirements, tracking compliance activities, and maintaining updated policies and documentation to support strong and reliable contract governance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Agreement development, management and operations (Outgoing agreements)
· Develop, manage and coordinate Nebraska Children’s outgoing agreements (Contracts, Subawards, MOUs, Service Agreements, Terminations, Novations, Assignments, etc) for use by Nebraska Children’s various initiatives
· Ensure that all contract/grant-related materials are gathered and filed in accordance with internal policies and procedures
· Develop and modify agreement templates and uniform Attachments for contractors/grantees
· Serve as the lead to streamline Nebraska Children’s internal contract processes, working with the various NC departments & initiatives
· Provide support to the relevant Nebraska Children staff by providing status updates and applicable templates
· Collaborate with internal staff to resolve questions or issues with contractors/subrecipients
· Utilize Nebraska Children’s contract management software (Webgrants) for all outgoing agreements
· Develop and maintain updated procedures and workflow improvements within Nebraska Children’s contract management software (Webgrants)
Compliance and due diligence (Incoming agreements)
· In partnership with Nebraska Children’s CFO, and initiative leads, review incoming contracts, evaluate terms and conditions for risks, and communicate necessary action for risk mitigation and compliance
· Ensure organizational compliance with incoming contract requirements by:
o Providing direction and guidance to staff on due diligence and compliance
o Tracking and reporting on compliance metrics and remediation efforts
o Maintaining compliance documentation and preparing reports for internal leadership
· Review and update operational policies and procedures to reflect best practices and regulatory changes
Other Responsibilities
· Stay informed of new developments in contract/grant management best practices
· Provide training for NC staff around contract/grant making and continuous quality improvement
· Establish and maintain a strong working relationship with finance, initiative leads, and program staff
· In collaboration with the accounting department, assist with reconciliation of all contracts/grants recorded in the financial system with the records in WebGrants as needed
· Other duties or special projects as assigned by the CFO

REQUIRED EDUCATION/ EXPERIENCE/SKILLS/ABILITIES:
- Juris Doctor (J.D.)
- 3+ years of experience drafting transactional agreements
- Experience reviewing, drafting, or managing contracts involving federal or state funding
- Ability to interpret legal and regulatory language and translate requirements into practical internal processes
- Strong analytical and computer skills with emphasis on accuracy and detail
- Working knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Teams, Sharepoint, and Outlook
- Strong communication and collaboration skills to work effectively across departments and with external partners
- Demonstrated ability to develop or improve workflows, templates, or operational procedures
- Strong organizational skills with the ability to manage multiple agreements and priorities simultaneously
PREFERRED
- Familiarity with 2CFRPart 200
- Familiarity with Webgrants or an alternative contract software
- Familiarity with Nonprofit agreements and Nonprofit management
- Experience in compliance, risk assessment, or due diligence related to grant- or contract-funded work
- Experience working within organizations that administer subawards or pass-through funding
- Understanding of federal and state grantmaking regulations and contracting best practices
- Experience developing training, guidance, or support materials for staff related to contracts or compliance
