Position Overview
We are seeking a professional and detail-oriented Administrative & Office Operations Specialist to support our Houston headquarters. This role serves as a key front-facing and operational support position, responsible for visitor reception, office administration, logistics coordination, and maintaining a professional corporate environment. The role is critical to supporting headquarters operations and reinforcing the company’s image in North America.
Key Responsibilities
Reception & External Interface
• Serve as the primary point of contact for visitors, including headquarters executives, customers, suppliers, partners, and industry peers
• Coordinate visit schedules, reception arrangements, meeting room setup, and on-site support
• Ensure a professional, organized, and welcoming experience for all visitors
• Support major visits, business meetings, and internal/external events as needed
Office Administration
• Manage daily administrative operations of the headquarters office
• Oversee office supplies procurement, asset tracking, and administrative documentation
• Coordinate meeting room usage and maintain shared office spaces
• Support the development and execution of office administrative procedures and standards
• Act as the administrative coordination hub for headquarters staff
Facilities & Logistics Support
• Maintain the overall appearance, functionality, and professionalism of the office building and surrounding areas
• Coordinate with property management, cleaning, security, and maintenance service providers
• Support office layout adjustments, moves, renovations, and related logistics
• Track and assist with administrative and facilities-related expenses and budget control
General Headquarters Support
• Assist with administrative coordination between headquarters, manufacturing sites, and other regional teams (including Mexico, if applicable)
• Support management with ad-hoc administrative and operational tasks
• Participate in the implementation of administrative systems and standards as the headquarters continues to scale
Basic Requirements
• Bachelor’s degree or equivalent work experience in Administration, Business, or a related field
• Minimum 3 years of experience in office administration, facilities support, or reception-related roles
• Strong verbal and written communication skills in English; bilingual is a plus.
• Familiarity with U.S. office environments and basic administrative compliance practices preferred
