The Executive Assistant for the Office of the CAO provides high-level executive administrative support to the Chief Administrative Officer and serves as the primary administrative support for the Women's and Marriage Ministry.
This role is responsible for ensuring organization, communication, scheduling, and administrative systems are executed with excellence. The Executive Administrator supports leaders by managing details, coordinating logistics, maintaining systems, and ensuring information flows accurately across platforms. This position represents the Office of the CAO, Squads, and Marriage Ministry with professionalism, discretion, and alignment to the church’s vision and values.

Essential Functions and Responsibilities:
- Serve in excellence by being early and prepared for all scheduled meetings.
- Establish and foster an exemplary relationship with staff/non-staff workers, church membership, and the community at large.
- Demonstrate a servant’s heart by having a willingness to perform other duties as needs may arise.
Executive Administrative Support
- Manage the CAO’s calendar, email, travel, and priorities, ensuring smooth daily operations.
- Serve as the first point of contact for internal and external communication for the Office of the CAO.
- Prepare agendas, coordinate meetings, capture key takeaways, and ensure timely follow-up.
- Draft and edit correspondence, reports, and presentations on behalf of the CAO.
- Anticipate needs and proactively support the CAO by preparing resources and solutions in advance.
- Ensure the personal assistant has detailed information to coordinate travel and bookings.
Administrative & Operations Project Management
- Oversee and manage departmental projects, ensuring timely execution and alignment with strategic goals.
- Track and monitor deliverables, milestones, and action items across the Administrative and Operations Department.
- Collaborate with cross-functional teams to streamline processes and systems for greater efficiency.
- Support the CAO in evaluating and improving operational systems.
- Provide leadership in coordinating special projects assigned by the CAO.
Squads Administration
- Provide administrative support for Squads, including scheduling, communication, and tracking.
- Manage Squad-related systems and platforms (registrations, rosters, communication tools).
- Maintain accurate participant records and databases.
- Support leaders with logistics, documentation, and follow-up.
- Assist in coordinating Squad launches, meetings, and events from an administrative standpoint.
Marriage Ministry Administration
- Serve as the primary administrative support for the Marriage Ministry.
- Coordinate schedules, calendars, and communication for ministry activities.
- Manage participant databases and ministry platforms.
- Support event logistics, registrations, materials, and follow-up.
- Ensure ministry operations are documented, organized, and aligned with church systems.
Technology & Systems Support
- Utilize and maintain church-approved platforms to manage communities, communication, and data.
- Ensure accuracy and consistency across digital tools and records.
- Assist with improving administrative workflows for Squads and Marriage Ministry.
- Support leaders by ensuring systems are functional, organized, and up to date.
Other related duties as assigned.

Pay Transparency Notice: At Change Church Inc, we value transparency in compensation. The target salary for this position ranges from $65,000 to $72,000 based on relevant experience, qualifications, skills, and work location.
