The Role:
RIOS is looking for a Front of House Receptionist and Office Manager to support our office needs and contribute to our vibrant office culture. This role is a platform to shape how the studio feels, functions, and connects. You'll be the first impression RIOS makes on every visitor, client, and collaborator who walks through our doors, and a key part of the operational backbone that keeps the office running efficiently.
This is a highly visible, fully in-office role (5 days/week) that sits at the intersection of hospitality, operations, and community building. You'll report to the Director of Human Resources and work closely with teams across the firm.
Primary tasks include:
Front of House & Hospitality
- Be the warm, energetic face of RIOS by greeting visitors, clients, and collaborators with intention and making them feel genuinely welcomed
- Anticipate guest needs from arrival to departure: parking coordination, wifi access, refreshments, conference room readiness
- Answer and direct incoming calls professionally and promptly
- Ensure the reception area, conference rooms, and shared spaces are consistently clean, organized, and presentation-ready working with the Day Porter
Office Operations & Efficiency
- Take ownership of the day-to-day operations of the office by proactively identifying and resolving facilities and operational issues before they become problems
- Manage building-related tasks including maintenance coordination, parking, and communication facilities
- Keep the office informed with need-to-know information in clear, timely communication
- Keep kitchen and office supplies well-stocked and organized; manage ordering and vendor relationships
- Receive, sort, and distribute mail and deliveries; coordinate outgoing packages and FedEx shipments
- Manage conference room calendars as needed, including scheduling, confirming, resolving conflicts, and coordinating with external contacts
- Collaborate cross-functionally with IT, Accounting, and other teams on shared operational needs
- Partner with the Day Porter and Security team to maintain a seamless, well-run office environment
Events & Culture
- Take the lead on planning and executing office events, team lunches, and culture moments
- Handle event production details for internal and external events, including items like insurance and security details and periodic staffing outside of office hours
- Coordinate catering and food orders for office meetings and events
- Work across RIOS teams on event production that enhances the office experience and strengthens community building and drives engagement internally and externally
- Support ad-hoc research requests and firmwide initiatives as needed

Minimum Qualifications:
- 2-3 years of professional experience in an office manager or related role
- Strong proficiency in Microsoft Office suite.
- Thrives in a high-pressure environment
- Strong communication skills
- Highly organized with strong attention to detail
- Ability to collaborate with a variety of personalities
- Ability to multitask and prioritize completing tasks and meeting deadlines
- Ability to lift up to 40 lbs
- Perform duties with the highest level of confidentiality and integrity
