Position Summary
The Executive Assistant provides high-level administrative assistance to executive leadership and functional teams, including weekly support of HQ office operations. This role ensures smooth logistics, secure handling of sensitive materials, executive calendar discipline, and cross-functional coordination in a dynamic, high-trust environment.
CEO Executive Assistant
Vibe; right hand, air traffic controller
- Provide direct support to the CEO, including:
- Personal and business travel coordination.
- Calendar + inbox plus prioritization and gatekeeping
- Proactively scheduling meetings discussed verbally to ensure follow-through.
- Blocking time to ensure punctuality for all meetings and calls.
- Track executive due-outs and action items, ensuring timely completion and status updates to stakeholders.
- Anticipate needs, not just reacting
Executive Administrative Assistant (Support Multiple Leadership)
Vibe: expert administrator, organizer, process keeper
- Scheduling, travel, expense reports, when requested.
- Schedule and coordinate quarterly offsite meetings, when required.
- Coordinate and support meeting logistics meeting, when required.
- Support To-Do list and reminders with calendar deadlines.
- Document prep, coordination and organization, follow-ups
- Personal assistant to VP of Operations
- Exhibits strong situational awareness and the ability to adjust approach to different work styles.
Office Operations Support
Vibe: steady, dependable, behind-the-scenes glue
- Work onsite, 1 day per week (e.g., Tuesday or Wednesday).
- Sort, open, scan, and electronically distribute in accordance with established instructions.
- Coordinate other office-related tasks, when required.
Inventory (SWAG) Management
- Order, store, monitor, and maintain inventory of company SWAG.
- Gather, prepare and coordinate shipment of Onboarding Kits.
- Ensure proper storage and tracking of inventory within the office.
- Bachelor’s degree, Business Administration, Communications
- Minimum of 3-5 years of experience as Senior Administrative Assistant
- Notary Public Certification, South Carolina
