The Executive Assistant to the President and Chief Executive Officer (CEO) is mission-critical to the President & CEO’s success, serving as more than a traditional administrative support role. This position requires a partner who can anticipate needs, manage complex logistics, and ensure the President & CEO can focus on driving Christianity Today’s (CT) mission forward.
The ideal Executive Assistant will be a proactive problem-solver who can seamlessly manage intricate schedules, communications, and operational details. This high-profile role involves navigating complex partnerships, developing thought leadership content, and representing CT through speaking engagements, media interviews, and written publications.
Functions and Responsibilities
Executive Support
- Manage complex calendars, strategically balancing meetings, events, and essential work margins
- Serve as the primary communication gateway, handling correspondence and appointments with discretion and professionalism
- Represent CT and the President & CEO in communications when appropriate, maintaining the highest standards of professional representation
Relationship Management
- Act as a strategic liaison between the President & CEO and internal/external ministry partners, including Board of Directors, President’s Council and major donors
- Facilitate relationship management with the President & CEO’s direct reports and convene senior administrators to ensure alignment and collegiality
- Coordinate and prepare for high-profile speaking engagements, including but not limited to:
- Researching and vetting speaking opportunities
- Managing event logistics and travel arrangements
- Preparing background materials and presentation support
- Support media interactions by helping prepare talking points, scheduling interviews, and managing related logistics
Project and Event Management
- Plan and execute domestic and international travel arrangements
- Coordinate internal and external meetings, including but not limited to:
- Mission Advancement fundraising events
- One-on-one sessions
- Annual strategy sessions
- All-staff retreats
- Regional events, interfacing with external contractors as needed
Expenses and Financial Documentation
- Manage and process expense reports, ensuring accuracy, proper documentation, and timely submission for monthly recording and reimbursement
- Prepare and reconcile monthly expense reports for assigned departments, adhering to company policies and budget codes
- Monitor and maintain accurate financial records related to executive expenses, including tracking expenditures against budgets and flagging any variances
- Coordinate and complete detailed expense reporting, including gathering receipts, inputting data into systems (e.g., Concur and Bill), and ensuring all necessary approvals are obtained
Administrative Excellence
- Develop and implement efficient documentation and administrative systems
- Provide comprehensive meeting support through detailed notetaking and follow-up
- Assist with special projects that advance the organization's strategic goals
- Perform additional job-related duties as assigned
Education and Experience
- Proven experience as an executive assistant or high-level administrator
- High school diploma required; college degree preferred
- Demonstrated proficiency with technology and emerging work tools
- Strong alignment with CT's mission and Christian values

Employment Details
- CT headquarters are located in Wheaton, Illinois
- Work Location: Remote
- Role includes periodic domestic travel (5–7 trips annually), which may include overnight and multi-day travel
- Type: Full time, 37.5 hour workweek
