Description

This position provides the first impression of our company and is responsible for a wide variety of duties. The primary function is to warmly receive all clients, vendors & staff members, and to ensure all inquiries are handled in a friendly and professional manner. This primarily includes phone & email questions along with the occasional office visitor. This position would also include organizing and scanning the incoming mail and shipping numerous packages via our carrier service, in addition to special projects ranging from document preparation to marketing, as allocated by senior management. This is a full-time position between the hours of 8:00 am - 5:00 pm Monday through Friday.

Requirements

General Duties

· Answer and address incoming phone calls in a timely, friendly and professional manner. Always answer with a smile, both internally and externally.

· Forward calls to the appropriate team member, in a friendly and professional manner.

· Take and deliver messages accurately and completely through email or other messaging programs.

· Manage incoming mail by sorting, scanning and distributing mail to the proper staff member both physically and through email.

· Manage outgoing mail through USPS, UPS or any other courier delivery.

· Sort through fax file and email to appropriate team member.

· Create and distribute weekly reports to entire staff through email.

· Sort, scan, and save monthly trust statements.

· Keep reception area, lobby, kitchen, work room and conference rooms clean and neat.

Other Clerical and Administrator Support

· Utilize Pension Pro or other CRM to track important phone calls, emails and other various tasks as assigned.

· May help with various executive projects for the Senior Management Team.

· Other duties may include document, administration, or accounting projects as assigned by management.
