Description
An Office Manager oversees the daily operations of the practice, ensuring efficient patient scheduling, billing, and staff coordination. They manage administrative tasks, support team performance, and uphold a high standard of patient care and service. This role is essential in creating a smooth, organized, and welcoming environment for both patients and staff.

Responsibilities:
- Ensure all daily operations of the practice reflect our mission, values, and patient-centered care.
- Oversee and help resolve insurance, financial, and scheduling issues daily to maintain a seamless patient experience.
- Oversee effective patient flow and staff productivity to support clinical operations and practice goals.
- Maintain and manage the master calendar for all practice locations, as assigned.
: - Coordinate daily schedules, emergency patient needs, and monthly provider rotations.
- Communicate schedule changes promptly to affected team members.
- Monitor and manage staff workload and daily task performance.
: - Hold staff accountable and coach them toward high performance.
- Administer progressive discipline policies in collaboration with Human Resources.
- Track practice metrics and prepare daily and weekly performance reports.
- Review and maintain accurate timecard for each team member. Approve timecards by Payroll’s bi-weekly deadline.
- Assist doctors in analyzing practice performance and developing improvement strategies.
- Perform daily quality assurance checks on patient records and follow up on any issues.
- Ensure OSHA compliance including: maintain OSHA logs, coordinate training, and oversee documentation across all locations, as assigned.
- Schedule and manage regular training sessions for front office and clinical staff.
- Lead monthly administrative and leadership meetings.
- Develop agendas, coordinate meeting content, and ensure follow-through on initiatives.
Requirements
- Minimum 3–5 years of experience in office management, preferably in a dental or healthcare setting.
- Strong leadership skills with demonstrated ability to motivate and manage a team.
- Knowledge of dental office procedures, insurance processes, and scheduling systems.
- Experience with financial reporting and practice management software.
- Excellent communication, organizational, and problem-solving skills.
- Ability to multi-task in a fast-paced environment and maintain composure under pressure.
- Understanding of HIPAA and OSHA standards and healthcare compliance requirements.
- High school diploma required; Associate’s or Bachelor’s degree in healthcare administration or business preferred.
- CPR certification and ongoing commitment to continuing education and professional development.
