The Meadows Mental Health Policy Institute (Meadows Institute) seeks a collaborative and strategic professional to serve as Accounts Payable Associate. The Accounts Payable Associate will support the work of the Vice President of Accounting and Controller and will work closely with the Assistant Controller and Accounting Supervisor. The Accounts Payable Associate will be expected to work collaboratively with staff, contractors, partner agencies, and stakeholders to perform day-to-day Accounts Payable operations, ensuring timely invoice and payment processing and accurate general ledger coding. The preferred work location for this position is in Texas. This position may not be filled or performed in California, Colorado, Connecticut, District of Columbia, Hawaii, Illinois, Maryland, Minnesota, Montana, Nevada, New Jersey, New York, Rhode Island, Vermont, or Washington at this time. Statewide travel (up to 5%) may be required. Some duties may require access to reliable personal transportation.
Responsibilities:
- Enter vendor invoices into the Accounts Payable system, ensuring all required fields are completed accurately (amount, invoice number, due date, posting date, general ledger coding [seven dimensions], expense description, approval routing).
- Review employee expense reimbursements and credit card transactions for proper supporting documentation and general ledger coding.
- Monitor invoice approval queues and proactively follow up with approvers across the organization to ensure timely completion for accounting period closes and payment deadlines.
- Initiate payments to vendors and employees (expense reimbursements), as instructed.
- Research and respond to inquiries from employees and vendors in a professional, polite, and timely manner, and communicate resolutions to appropriate parties.
- Set up new vendors in Accounts Payable and Accounting systems, including requesting, reviewing, and processing W-9 forms to ensure proper completion and IRS compliance.
- Assist with the annual preparation and filing of 1099s.
- Oversee or assist with the administration of multiple systems (Accounts Payable and Employee Expense Reimbursement/Credit Card platforms), including user access, approval routing, and general ledger dimension maintenance.
- Perform month-end Accounts Payable activities, including resolving syncing or integration errors between the Accounting system and related systems.
- Perform other related duties as assigned.
Required Qualifications:
- Minimum of two years of professional-level experience in a directly related role.
- Basic to intermediate proficiency in Microsoft Excel and Word.
- Demonstrated exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to work independently as well as collaboratively with colleagues. This includes overcoming geographic and other potential barriers to communicating with and making contributions to the team’s work.
- Excellent organizational skills, including the ability to manage multiple tasks and projects simultaneously while meeting deadlines.
- Capacity to think strategically, critically, and respond analytically.
- Ability to maintain the confidentiality of all records.
- Flexibility in working with new issues, topics, and approaches.
Preferred Qualifications:
- Experience in a not-for-profit accounting environment.
- Experience with Sage Intacct, Bill.com, and Sage Expense Management/Fyle.

The preferred work location for this position is in Texas.
