Administrative Coordinator
Description

The Administrative Coordinator is responsible for the administrative functions within the dedicated company software and providing ongoing support to all levels of Piscataqua employees, clients and vendors. They will display continuous accuracy, efficiency and professionalism in all aspects of the role as listed below, and other duties as determined to support the business needs.

Requirements
  • Provide assigned departments with ongoing support related, but not limited to, customer service communication, small job proposals, end of month closing and ongoing training.
  • Billing & A/R: Create customer invoices and oversee accounts receivable for assigned branch(es)/division(s); partner with the accounts receivable team to follow up on outstanding payments.  Administrative support with the setup and management of customer portals. 
  • Answer and route office calls with precision and professionalism; communicate with vendors, subcontractors, and clients as needed.
  • Administratively support and organization for subcontractor onboarding and services. 
  • Assist with Aspire (Landscape production software) support: Assist operations with CRM data, work ticket management, job-costing data entry, to keep data clean and current.
  • Effectively communicate administrative and software updates, including enhancements and issues, to ensure team alignment, foster a collaborative learning environment, and educate departments.
  • Complete administrative tasks for seasonal contract renewals through the software program. 
  • Identify opportunities to improve branch employee productivity and customer satisfaction, and act on them by creating, implementing, and maintaining SOPs.
  • Provide cross-coverage by serving as back-up support for other branches and divisions as needed.
  • Support day-to-day administrative operations and contribute to special projects as assigned.
  • Assist with administrative tasks for seasonal operations as assigned. 


  Skills and Qualifications 

  • Associates degree and/or two years’ experience or training; or equivalent combination of education and experience. Ability to work comfortably on a computer and working knowledge of MS Office.
  • Must have superior organizational skills and strong attention to detail. Excellent multi-tasking capabilities and the capacity to pivot between responsibilities with ease.
  • Customer service oriented. Maintains a positive, empathetic, and professional attitude toward customers and staff. 
  • Ability to interact with staff in a fast-paced environment with a high level of professionalism and confidentiality.
  • Experience and proficiency in Microsoft Office and cloud-based software is preferable.
