The Senior Event Manager serves as a strategic partner to senior client stakeholders, owning the planning and delivery of executive meetings while ensuring flawless execution, proactive communication, and alignment with the client’s business objectives. This position works as part of a dedicated team of 4–5 event professionals. When executive meetings do not require full capacity, the role will support other customer and stakeholder events for the same client.

- Serve as a primary point of contact for senior-level client stakeholders maintaining clear, concise, and executive-ready communication.
- Lead and execute executive meetings desk operations, managing complex, confidential, and detail-driven programs.
- Conceptualize and deliver strategic executive meetings that align with the client’s objectives, brand standards, and leadership expectations.
- Collaborate closely with a dedicated team of 4–5 event professionals, supporting team execution and ensuring seamless coverage across programs.
- Oversee the work of team members (if applicable) on assigned executive meetings and provide guidance, quality control, and leadership as needed.
- When executive meetings do not require full utilization, support additional customer and stakeholder events for the same client.
- Lead client and internal meetings, including executive status updates, planning sessions, pre-event walkthroughs, onsite meetings, and post-event debriefs.
- Proactively identify risks, anticipate needs, and resolve issues with discretion and professionalism.
- Manage event budgets, invoicing, schedules of payments, and cost-savings reporting with a high degree of accuracy and transparency.
- Oversee program agendas, timelines, and project plans, ensuring alignment across all internal and external partners.
- Drive internal and client deliverables to meet milestones and maintain service-level expectations.
- Coordinate with other departments for seamless program execution, including, but not limited to, registration, housing, air & platform.
- Manage all aspects of venue coordination, including meeting space allocation, room sets, diagrams, food & beverage, electrical, and internet requirements.
- Manage and coordinate vendors and partners, including DMCs, Audio Visual, Production, Entertainment, IT/Internet, Security, Transportation, Shipping, and Translation.
- Coordinate content development, program collateral, and executive-level materials, ensuring accuracy, consistency, and brand alignment.
- Confirm executive and VIP attendees, create VIP grids and photo reference materials, and coordinate room amenities and transportation.
- Lead site inspections, develop detailed budgets, and coordinate executive itineraries.
- Develop and finalize Program Specification Documents (PSDs) and transition program details to onsite teams.
- Oversee onsite executive meeting operations, ensuring flawless execution and a white-glove experience.
- Responsible for all payments to vendors and invoices to customer for each event.
- Manage final billing for each program, credit card reconciliation, and present the bill to the client.

Education and Experience:
Required:
- Bachelor’s degree.
- Minimum 5+ years of corporate event or executive meeting management experience
- Prior experience supporting senior-level or executive stakeholders
- Strong background in agency or corporate environments preferred
- Minimum 3–4 years of direct client management experience
- Proven ability to manage complex budgets, including multi-million-dollar programs
- Demonstrated success delivering high-touch, detail-driven events
