Job Summary
The Supervisor is responsible for providing leadership and managing the daily activities of the claims management teams to ensure efficient, timely, and high-quality performance. This includes establishing policies and procedures, maintaining daily workflows to ensure specified turnaround times are met, and providing work direction and overall performance management for the staff. The supervisor should ensure optimum performance by the team in areas such as compliance, quality, productivity, teamwork across department lines, attendance, and company values.
Major Responsibilities/Activities
- Oversee the daily coding process to ensure timely processing and maximize cash flow.
- Coordinate and manage the distribution of work and scheduling for team based on business needs.
- Provide direct supervision for a multi-functional team; activities include hiring staff, addressing staff concerns, and managing performance, including time and attendance, policy enforcement and corrective action, and employee development. This may include third-party staffing associates and/or temporary workers.
- Manage day-to-day reports, workflow, and communication between Team Lead and/or staff and third party vendors.
- Conduct regular meetings with the team to address process changes, organizational issues, and departmental matters.
- Monitor staff productivity and quality through internal performance systems; provide appropriate feedback, coaching, and corrective action where appropriate. Adjust coverage/schedules as necessary to maintain service level objectives.
- Identify and communicate quality assurance (QA) findings, trends, training requirements, performance patterns, deficiencies, staffing, and areas needing improvement and implement appropriate corrective measures to maximize performance and quality.
- Compile and analyze data to recommend technology and other solutions for efficiencies and process improvement.
- Maintain current working knowledge of rules, regulations, statutes, policies and procedures in all applicable areas.
- Manage the implementation of new processes, procedures, and technologies as needed.
- Ensure all HIPAA procedures are followed, violations are reported, and corrective action plans are enacted in accordance with company compliance procedures.
- Collaborate with other departments in departmental and organizational continuous improvement efforts and lead such efforts when related to the receivables area.
- Monitor and address staff concerns, provide positive and effective leadership that enhances employee morale and productivity and strengthens teamwork and employee relations.
- Perform other duties as assigned.
Required Education, Skills, & Experience
- Associate’s degree in Business Administration, Healthcare, or related field, or high school diploma with comparable work experience.
- 1 or more years of supervisory experience or other relevant leadership experience.
- 1 or more years of experience with medical billing, insurance, or in other healthcare financial areas. Experience in non-healthcare high-volume receivables will also be considered.
- Demonstrated ability to lead and motivate diverse staff in a positive and effective manner.
- Excellent written and verbal communication skills with the ability to communicate with peers, supervisors, managers, clients, vendors and team members in a professional and respectful manner.
- Strong analytical and critical thinking skills with the ability to improve processes, solve problems, and provide innovative solutions with little direction.
- Demonstrated ability to multi-task and work with cross-functional teams.
- Must be able to give and receive positive and negative feedback in a consistent and respectful manner; includes difficult conversations, applying corrective action, resolving escalated issues, employee conflicts, etc.
- Proficiency with Microsoft Office programs; strong level of Excel experience including formulas and pivot tables required.
- Strong listening, decision-making, time management, communication skills, problem solving and innovative solutions with little supervision.
- Capable of handling multiple and complex tasks simultaneously, meeting deadlines and working efficiently, while contributing to a cross-functional team environment.
- Proficiency in English is necessary for job-related communication, including understanding policies, writing correspondence, and engaging with colleagues or clients.
Preferred Education, Skills, & Experience
- Demonstrated knowledge of HIPAA, FERA, FDCPA, Medicare, Medicaid, compliance, insurance, liability and tertiary payment methods.
- 1 year prior experience in EMS billing.
- Knowledge/experience in electronic claims submissions and remittance procedures.
Working Environment
- The office environment is a controlled indoor setting with minimal exposure to adverse conditions.
- Noise levels in the office are typically moderate and consistent with a standard office setting.
- For employees approved to work in a hybrid or remote setting, a quiet, private workspace free from significant distractions is required to ensure productivity during work hours.
- A reliable internet connection is required for hybrid/remote work. EMS|MC will provide necessary equipment, including a computer, monitor, keyboard, mouse and headset.
Physical Requirement
- Sitting: frequent and prolonged periods of sitting at a desk while working on a computer.
- Communication: frequent and prolonged periods of speaking, listening, reading, and writing.
- Fine motor skills: frequent use of hands for typing and operating a computer mouse.
- Movement: occasional walking and climbing of stairs; limited bending, kneeling, lifting, and carrying of office-related items.
- Travel: must be able to travel occasionally to attend required company meetings.
Pay range: $50,000.00 - $55,000.00 annually, with final compensation based on the candidate’s qualifications, experience, and business needs.
