Position Title: Summer Day Camp Administrative Coordinator
Reports To: Camp Director
Department: Camp
Classification: Full Time, Non-Exempt, Seasonal
Compensation: $18.00/hour
POSITION SUMMARY:
As the Camp Supervisor, you will impact our community’s youth through the day-to-day operations of summer camp. Help create and foster a strong sense of teamwork, provide aid to the Camp Director in the process of training all full-time and part-time seasonal staff. This position will assist the Camp Director in all aspects of ensuring compliance with applicable program safety and licensing standards. The Camp Supervisor ensures that all Camp activities and programs are safe, engaging and designed to provide the best experience for all participants.
ESSENTIAL FUNCTIONS:
- Serve as the primary point of contact for parents/guardians during camp hours
- Answer phones, emails, and in-person inquiries in a professional and welcoming manner
- Position will require in-service hours as lead counselor based on programmatic needs
- Assist with camper check-in and check-out procedures
- Maintain accurate camper files, weekly master attendance logs, camper sign in/sign out sheet
- Manage camp administrative operations including registration, waitlist coordination, enrollment changes, payment processing, invoicing, and maintenance of accurate participant records
- Communicate daily/weekly updates, reminders, and announcements to families as directed
- Coordinate and maintain camp communication platforms, ensuring families receive clear, timely information regarding weekly theme days, field trips, Friday BBQs, schedules, and other essential camp updates
- Address parent questions or concerns and escalate to leadership when appropriate
- Assist the Camp Director with staff scheduling, supply ordering, and daily camp logistics, including activity materials, snack supplies, and general program needs
- Prepare and organize paperwork for staff (rosters, schedules, incident reports)
- Help track staff attendance and coverage needs
QUALIFICATIONS:
- At least 21 years of age
- High school diploma or equivalent preferred
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Proficiency with basic office technology (email, spreadsheets, databases)
- Ability to multitask and remain calm in a busy camp environment
- Strong understanding of the YMCA mission and adhere to YMCA value
- Will need to provide three letters of recommendation
- Must be able to pass a Child Abuse & Neglect background check through DHHS
- Must be able to provide a live scan fingerprint and background check request
- Must be willing to work flexible hours from 6/15/2025 through 8/21/2025
- Current Adult/Child CPR and First Aid Certification before 6/15/20256 (internal training provided)
WORKING CONDITIONS:
- Must be able to work in a fast-paced environment
- Must be able to lift minimum of 25 pounds
- Long periods of standing and/or walking
- The employee frequently is required to stand, sit, lift, bend and reach, and must be able to move around with the work environment
- Work environment noise level could be moderate to high at times
- A required 30-hour training week will take place between 6/8/25 and 6/12/25
- CPR/AED and First Aid required before 6/15/2025
