Description

Essential Duties and Responsibilities:

The Administrative Assistant will coordinate office activities and operations while providing clerical and administrative

support to management, EHS, and HR.


Office Duties/Responsibilities:

  • Directs office activities and functions to maintain efficiency and compliance with company policies.
  • Assists clerical and support staff with their assigned duties, particularly when more advanced, skilled, or sensitive work is required.
  • Prepares agendas, arranges travel, and maintains calendars for senior management.
  • Greet visitors, oversee telephone services, email correspondence, and mail distribution.
  • Maintains office supplies inventory.
  • Performs other related duties as assigned.

HR Duties/Responsibilities:

  • Maintain records, documentation, and files, particularly more complex or sensitive files such as employee files.
  • Maintain employee files and personnel records.
  • Update employee databases and information.
  • Process new hire paperwork and onboarding documents.
  • Oversee new hire orientation.
  • Assist with recruitment
  • Handle employee benefits inquiries.

EHS Duties/Responsibilities

  • Accurate translation of EHS documents and training materials
  • Be prepared to review accident reports and identify trends.
  • Administer training for WPS (Worker Protection Standard)
Requirements

Experience, Education, and Licensure/Certification Requirements:

  • High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.

Required Skills/Abilities:

  • Bilingual (English/Spanish) Required: Must be able to speak, read, and write both languages fluently.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to prioritize tasks.
  • Ability to function well in a high-paced and at times stressful environment.
  • Basic understanding of how to operate standard business equipment.
  • Proficient with Microsoft Office Suite or related software.
  • Able to obtain CPR/First aid, AED instructor certification.
  • Able to work independently without supervision.
Salary Description
$20.00-$25.00/hr.
