Description

The Fleet & Facilities Director provides strategic and operational leadership for all fleet assets and company facilities. This role is responsible for developing and implementing systems that drive lifecycle management of vehicles and equipment, executing preventive maintenance, ensuring regulatory compliance, improving financial performance, and holding teams accountable. 

The Director ensures maximum asset uptime, cost control, safety compliance, and operational efficiency while building scalable systems to support company growth.

 

Fleet Strategy & Lifecycle Management

  • Develop and execute a 3–5 year fleet replacement and capital plan
  • Develop standardized specifications and procurement systems for vehicles and equipment
  • Oversee acquisition, lifecycle tracking, and disposal of vehicles and equipment
  • Conduct a total cost of ownership (TCO) analysis for purchasing decisions
  • Develop systems to optimize fleet utilization and asset allocation
  • Manage fuel strategy and cost control initiatives
  • Establish performance benchmarks, reporting structures, and accountability systems
  • Drive continuous improvement in uptime, reliability, and cost per asset

Preventative Maintenance & Asset Reliability

  • Develop, implement, and continuously improve comprehensive preventative maintenance systems
  • Ensure 95%+ PM compliance
  • Establish structured work order management and maintenance tracking processes
  • Reduce downtime through predictive and scheduled maintenance strategies
  • Standardize inspection processes and documentation systems
  • Monitor and manage maintenance cost ratios by asset class

Facilities Management & Infrastructure

  • Develop and implement facility maintenance systems and preventative schedules
  • Oversee maintenance and upkeep of all facilities (shops, yards, offices)
  • Ensure compliance with building codes, OSHA, and environmental regulations
  • Develop vendor management systems and service standards
  • Oversee facility security protocols and access control systems

Financial Leadership & Budgeting

  • Develop and manage annual fleet and facilities operating budgets
  • Establish financial tracking systems for fleet and facility performance
  • Oversee capital expenditure planning and long-term asset forecasting
  • Monitor monthly variance reports and financial performance metrics
  • Identify and execute cost-saving initiatives across fleet and facilities operations
  • Negotiate vendor contracts and supplier agreements
  • Work with the executive team to prepare executive-level performance and financial reports, including capital forecasts, cost analysis, and operational KPIs

Safety & Regulatory Compliance

  • Develop and enforce fleet and facility safety systems and compliance procedures
  • Ensure full compliance with DOT, OSHA, and all applicable federal, state, and local regulations
  • Oversee driver qualification programs and fleet safety standards
  • Implement structured safety training programs
  • Conduct regular safety audits and inspections
  • Investigate accidents and incidents and implement corrective action plans
  • Partner with insurance providers to reduce risk exposure and control claims costs
  • Partner with HR to manage workers’ compensation cases, return-to-work programs, safety training documentation, and compliance-related personnel matters

Technology & Systems Management

  • Develop, implement, and optimize fleet management software and telematics systems
  • Build data reporting systems that improve visibility, performance tracking, and accountability
  • Utilize analytics to drive asset performance and operational decision-making
  • Maintain accurate asset registry and compliance documentation systems
  • Lead digital process improvements across fleet and facility operations

Leadership & Team Development

  • Recruit, train, and develop mechanics and facility personnel
  • Build structured performance management and accountability systems
  • Conduct regular performance evaluations and coaching
  • Foster a culture of safety, ownership, accountability, and continuous improvement
  • Ensure effective communication and collaboration across departments
Requirements

Skills and Qualifications

  • 7+ years of fleet management experience
  • 5+ years of leadership experience
  • Bachelor’s degree in Operations, Business, Engineering, or related field
  • Industry certifications (CAF, CFM, or similar)
  • Experience in landscaping, construction, or field service industries
  • Lean or continuous improvement training
  • Strong understanding of DOT, OSHA, and regulatory compliance
  • Experience building operational systems and processes
  • Experience managing capital and operating budgets
  • Proficiency with fleet management software and telematics systems
  • Proven track record of cost control and operational improvement
  • Strong financial and analytical skills     

Physical Requirements

  • Ability to lift 50 lbs or more, stand for extended periods, and perform repetitive tasks.
  • Comfortable working outdoors in various conditions, including heat, cold, and rain. 

Availability Requirements

  • Monday-Friday, 6:30 AM - 4:30 PM, weekends and extended hours as needed

Salary Description
100,000-110,000 base salary with bonus potential
