The Meadows Mental Health Policy Institute (Meadows Institute) seeks a highly organized and experienced Senior Project Manager to provide high-level administrative and execution support to the Health and Public Safety Team.


This role is responsible for driving day-to-day project coordination across complex, multi-partner initiatives. The Senior Project Manager will independently manage timelines, tracking systems, meeting cadence, documentation, and follow-through to ensure projects remain organized, on schedule, and aligned with defined scopes of work.


This position is designed for a professional who requires minimal supervision, anticipates needs, structures workflows proactively, and brings clarity to complex, fast-moving projects, playing a critical role in ensuring projects remain organized, on schedule, and moving forward without constant oversight.


The preferred work location for this position is in Texas. This position may not be filled or performed in California, Colorado, Connecticut, District of Columbia, Hawaii, Illinois, Maryland, Minnesota, Montana, Nevada, New Jersey, New York, Rhode Island, Vermont, or Washington at this time. Statewide travel (up to 10%) may be required. Some duties may require access to reliable personal transportation.


Responsibilities:

Project Execution & Coordination

  • Serve as the day-to-day administrative execution lead for assigned Health and Public Safety projects.
  •  Support large-scale, multi-partner initiatives with multiple concurrent deliverables and reporting requirements.
  • Develop and maintain detailed project trackers, timelines, and task management systems to ensure visibility into deliverables and deadlines.
  • Monitor progress across multiple concurrent workstreams and proactively follow up with team members, contractors, and partners to ensure commitments are met.
  • Structure and maintain documentation systems that support organized project execution and institutional continuity.

Meeting & Cadence Management

  • Coordinate and manage recurring project meeting cadence, including scheduling, agenda preparation, materials development, note-taking, action-item tracking, and follow-up.
  • Ensure meetings result in clear next steps and documented decisions.
  • Maintain continuity across meetings and workstreams to prevent duplication or dropped tasks.

Leadership Support

  • Prepare clear and concise project summaries, status updates, and briefing materials for Health and Public Safety leadership.
  • Anticipate upcoming project needs and identify administrative or coordination gaps before they impact timelines.
  • Support leadership by ensuring operational details are organized, tracked, and advancing without constant oversight.

Contract & Deliverable Administration

  • Track grant-funded deliverables, reporting deadlines, and required documentation across multiple initiatives.
  • Coordinate inputs from team members and partners to support timely submission of reports and project materials.
  • Maintain organized records of contracts, scopes of work, deliverables, and project correspondence.

Process Improvement

  • Identify opportunities to improve internal project tracking systems, documentation workflows, and administrative coordination processes.
  • Implement tools and systems that increase efficiency and reduce duplication across projects.

Other Duties

  • Perform other related duties as assigned to support the Health and Public Safety Team’s portfolio of work.
Requirements

Required Qualifications:

  • Bachelor’s degree in business, public policy, government, nonprofit management, or a related field.
  • Minimum of five years of progressive experience in project coordination or project management roles, with demonstrated experience supporting complex, multi-stakeholder initiatives.
  • Demonstrated ability to independently manage multiple concurrent projects in a fast-paced environment.
  • Strong organizational and systems-thinking skills, with the ability to design and maintain tracking structures that support execution.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to operate with a high degree of autonomy and judgment in complex project environments.
  • Proficiency in digital project management and collaboration tools, including task trackers, spreadsheets, shared drives, and calendars.

Preferred Qualifications:

  • Experience supporting senior leaders or program leadership in an operational or coordination capacity.
  • Experience managing or supporting complex, multi-partner or grant-funded projects.
  • Familiarity with law enforcement, first responder, behavioral health, or public safety initiatives.
  • Military service, military family member, or experience working with veteran-focused programs.
