TFO Wealth Partners is seeking a Family CFO Services Specialist to join our Family CFO Services Team. This role is responsible for executing bill pay transactions and providing accounting support for high-net-worth (HNW) wealth management clients.
This position plays a critical role in maintaining the accuracy, timeliness, and integrity of client financial records while delivering exceptional service in a fast-paced, client-sensitive environment. The ideal candidate is detail-oriented, dependable, and thrives in structured processes while managing multiple priorities.
The Family CFO Services Specialist supports the delivery of comprehensive financial administration services by managing invoice processing, payment execution, transaction coding, reconciliations, and reporting support. This role ensures financial data is organized, accurate, and aligned with client reporting standards and internal policies.
Responsibilities:
- Review, organize, and maintain invoices and supporting documentation from clients, vendors, and internal sources in accordance with established naming and filing protocols
- Process payments through various methods including vendor portals, Bill.com, ACH, wire, check, and credit card platforms
- Create and manage cases/tasks within CRM to track payment status through completion, ensuring accuracy, timeliness, and proper authorization
- Maintain detailed documentation and deadline tracking to ensure invoices are not missed or duplicated
- Preserve clean audit trails, including supporting documentation and approval records
- Validate transaction data accuracy, reconciliations, and balance sheet integrity
- Ensure accounting is completed in accordance with agreed reporting policies and procedures
- Assist in preparation of monthly and quarterly client reporting packages (individual, trust, and multi-entity structures)
- Coordinate with client service teams and external partners (advisors, attorneys, CPAs) to support seamless service delivery
- Assist with proposal preparation and client onboarding, including data gathering and system setup
Bachelor’s degree in Accounting (preferred), Finance, Business, or related field
- Strong attention to detail and ability to manage competing priorities
- Effective written and verbal communication skills with a strong client-service mindset
- Ability to work in a fast-paced environment with time-sensitive and client-sensitive requests
Preferred:
- 5+ years of experience in family office, wealth management, accounting services, or financial operations
- Experience reviewing payment activity and preparing or supporting financial reporting
