Position Summary
The Loan Processor is responsible for managing the loan file from submission through closing, ensuring accuracy, compliance, and timely execution at every milestone. This role serves as the operational quarterback of the transaction, partnering closely with Loan Originators, Underwriting, and Closing to deliver a smooth and compliant borrower experience.
The Processor is accountable for maintaining benchmark turn times, proactively managing key dates, and ensuring loan quality prior to underwriting submission.
Key Responsibilities
Pipeline & File Management
- Manage a multi-state pipeline of mortgage loans from application through closing
- Retrieve, review, and organize all documentation within Encompass eFolder
- Maintain full ownership of file accuracy, completeness, and compliance prior to underwriting submission
- Monitor and manage critical dates including:
- Lock expiration
- Contract and contingency deadlines
- Credit and income documentation expiration
- ECOA, Trid and other regulatory timelines
- Analyze loan applications and supporting documentation for eligibility and completeness
- Review title, payoffs, appraisal reports, income documents, hazard insurance, and all required conditions
- Issue Change of Circumstance and revised Loan Estimate the same day once rate is locked
- Request Early CD when appropriate to meet closing timelines
- Document all file activity and communication notes in LOS per company standards
Communication & Client Experience
- Conduct daily follow-ups with borrowers and third-party vendors to obtain outstanding documentation
- Maintain weekly proactive status updates with borrowers
- Respond to internal and external inquiries within two hours during business hours
- Communicate delays, risks, or challenges to Regional Management, Branch Manager, and Loan Consultants promptly
- Escalate potential fraud or risk concerns to Risk Management Leadership immediately
Compliance & Quality Control
- Ensure all loans meet company, investor, and regulatory guidelines prior to submission
- Utilize fraud detection tools and validate income, assets, and collateral documentation
- Review Automated Underwriting findings (DU/DO/LP) and ensure documentation aligns with findings
- Maintain detailed and accurate file documentation to support underwriting and audit reviews
Professional Development
- Serve as a subject matter expert on ABSM policies, procedures, products, and systems
- Complete all required ABSM continuing education courses timely
- Stay current on investor guideline changes and regulatory updates
Qualifications & Requirements
- Minimum 3+ years of mortgage processing experience in a high-volume environment
- Recent Encompass experience required
- Experience processing Conventional, FHA, VA, Down Payment Assistance, USDA
- Strong knowledge of FHA and FNMA & Freddie guidelines
- Experience with DU, LP systems, VA Portal
- Ability to analyze complex income and documentation scenarios
- Working knowledge of mortgage compliance regulations and fraud detection tools
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to work with urgency in a fast-paced, deadline-driven environment
