We are currently seeking to fill the following position: 


Job Title: Executive Assistant

Primary Location: La Jolla, CA 

Schedule: Full Time Job

FLSA Status: Non-Exempt

Summary: 


The Executive Assistant completes a broad variety of administrative tasks for the CEO and other members of the Management Team including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. 


 

Responsibilities and Essential Duties include but are not limited to: 


  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks as needed 
  • Serve as the Office Manager for our La Jolla office 
  • Communicate and interact effectively and professionally with diverse populations. 
  • Opening, sorting, and distributing correspondence, including email, faxes and regular mail. 
  • Attend meetings and discussions, as required, take minutes and ensure action item follow-up. 
  • Work with Management to keep the CEO apprised of all pertinent information such as schedules, speaking opportunities, staff issues, and track needs, priorities, and follow-up of action points. 
  • Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines. 
  • Ensure CEO is prepared for upcoming appointments by gathering materials necessary for each meeting. 
  • Work with Executive Team to collect and assemble information for presentations, projects and strategic planning. 
  • Prepare, edit and draft presentations. 
  • Consolidate data and edit documents for accuracy. 
  • Ad-Hoc projects and other duties as requested. 
Requirements

Education Requirements/Professional Experience and Qualifications: 

  • Bachelor’s degree required or four or more years of experience assisting C-Level executives. 
  • Public company experience is preferred 
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms. 
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors. 
  • Detail oriented with strong proofreading skills. 
  • Expert level written and verbal communication skills. 
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability with minimal guidance in a quickly changing environment. 
  • Highly resourceful team-player, with the ability to also be extremely effective independently. 
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. 
  • Self-Motivated, with flexibility to multitask and prioritize in a fast-paced environment. 
  • Use discretion and adhere to all corporate, legal, and regulatory guidelines. 
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. 
  • Forward looking thinker, who actively seeks opportunities and proposes solutions. 


 


Working Conditions and Physical Requirements: 

  • Ability to safely and successfully perform the essential job duties of this position, with or without reasonable accommodation.

  • Occasionally lift medium to heavy objects.
