We are seeking Operations Coordinator to join our team at JFK Terminal 4.


Location: JFK Airport – Terminal 4
Reports To: Director of Operations
Pay Range: 60,000 – $70,000 annually

  

Position Summary

The Operations Coordinator supports the daily operational execution of the Terminal 4 Building Security & Access Control contract. This role ensures schedule integrity, payroll accuracy, billing support, documentation compliance, and advancement of internal reporting systems. The Operations Coordinator reinforces operational structure and process discipline while supporting supervisors and leadership in maintaining contract standards.

  

Essential Duties & Responsibilities

Operational & Scheduling Support

  • Maintain master schedule alignment with 24/7 staffing requirements
  • Monitor daily coverage and identify deficiencies
  • Track overtime and relief coverage in compliance with contract requirements
  • Assist with preparation of daily and weekly rosters

Payroll & Timekeeping Oversight

  • Review time and attendance records for accuracy
  • Audit payroll submissions for overtime, holidays, and benefit compliance
  • Identify and resolve discrepancies in coordination with HR and Payroll
  • Track labor trends and staffing inefficiencies

Billing & Administrative Support

  • Reconcile scheduled hours versus billable hours
  • Support monthly invoice preparation
  • Track out-of-scope staffing and additional service hours
  • Maintain documentation supporting billing accuracy

Compliance & Documentation

  • Maintain personnel records in accordance with contract requirements
  • Track training, certifications, and regulatory compliance
  • Support audit preparation and performance reporting
  • Ensure documentation standards are met for disciplinary and operational records

Systems & Process Improvement

  • Support implementation and optimization of scheduling and timekeeping systems
  • Develop and maintain operational tracking reports
  • Improve data visibility related to staffing, overtime, and performance metrics
  • Identify opportunities to streamline manual processes
Requirements

  

  • Minimum  3 years of experience in airport, security, or regulated operational environments
  • Experience  with scheduling and payroll systems
  • Strong  proficiency in Microsoft Office, particularly Excel
  • Strong  organizational and documentation skills
  • Ability  to manage multiple priorities in a fast-paced environment
  • Valid US driver's License with at least 3 years of experience- approvals  and final decision is subjected to our automobile insurance carrier's  criteria 

Preferred Qualifications

  • A.A. Degree or equivalent (e.g., professional business school certificate)
  • NYS Security Guard License preferred
