Position Overview
The Customer Service / Office Administrator plays a critical front-office role supporting daily operations at our recycling facility. This position is responsible for assisting customers, processing transactions, managing cash handling procedures, and supporting administrative and dispatch operations.
The ideal candidate is detail-oriented, organized, customer-focused, and comfortable working in a fast-paced environment.
Key Responsibilities
Customer Service & Cash Handling
- Welcome and assist walk-in and phone-in customers
- Explain site procedures and direct customers to the appropriate service areas
- Process customer payments and transactions accurately
- Serve as the primary cashier responsible for receiving, disbursing, and reconciling cash transactions
- Ensure correct entry of materials, pricing, and weights into the system
- Perform daily drawer reconciliation and maintain safe drop documentation
- Follow company cash handling and theft-prevention procedures
- Answer and route incoming phone calls
- Conduct weekly follow-up calls with customers to ensure satisfaction and maintain strong customer relationships
- Maintain a professional and organized front desk environment
Cash Handling Oversight & Documentation
- Reconcile cash drawers and drop envelopes daily
- Verify alignment between scale tickets, payout logs, and system entries
- Escalate discrepancies to management when necessary
- Maintain accurate documentation and tracking
- Competitive Pricing & Market Monitoring
- Conduct weekly research on scrap metal pricing at nearby competitor
- Document findings and submit reports to management
- Support updates to internal pricing matrices and price boards
End-of-Month Customer Payout Support
- Assist with compiling customer payout summaries and account statements
- Support reconciliation of high-volume payouts
- Maintain accurate financial documentation
Dispatch Support
- Serve as backup dispatcher during scheduled breaks or peak periods
- Enter and update dispatch tickets
- Confirm pickups with drivers and customers
- Communicate route changes or service updates when needed
Administrative Support
- Monitor and restock office and administrative supplies
- Maintain and update SOP binders and onboarding materials
- Assist with signage updates, safety checklists, and documentation
- Support operational improvement and administrative projects
Performance Metrics
Success in this role is measured by:

Experience & Qualifications
- High school diploma or equivalent required
- Previous cash handling experience (retail or customer service preferred)
- Metal recycling experience is a strong plus
- Strong numerical and math skills
- Excellent customer service and interpersonal skills
- Experience with POS systems or cash registers
- High attention to detail and accuracy
- Ability to multitask in a fast-paced environment
- Knowledge of recycling materials and practices is a plus
- Reliable, punctual, and strong work ethic
- Proficiency with Microsoft Office (Word, Excel, Outlook)
Work Environment
- Prolonged sitting with occasional bending, stooping, pushing, pulling, and twisting
- Repetitive hand motions including keyboard and mouse use
- Work performed in both indoor and outdoor environments
- Ability to work with frequent interruptions and maintain composure under pressure
