JOB SUMMARY: The Human Resources Assistant provides critical administrative support to the HR department in areas such as recruitment, onboarding, employee records management, payroll assistance, and internal communication. This role is responsible for maintaining accurate HR documentation, facilitating smooth HR processes, and contributing to a positive and compliant workplace environment.


DUTIES AND RESPONSIBILITIES:

Recruitment & Onboarding Support:

· Coordinate full cycle recruitment process in collaboration with the Talent Acquisition Specialist.

· Post job vacancies on internal and external job boards, ensuring accurate job descriptions and compliance with internal guidelines. 

· Schedule and coordinate interviews between candidates and hiring managers.

· Maintain timely communication with candidates regarding interview confirmations, application statuses, and next steps.

· Serve as the point of contact for candidates in the absence of the Talent Acquisition Specialist and, if needed, facilitate interviews.

· Assemble and prepare new hire onboarding packets, ensuring all required forms are included and completed accurately.

· Upload and label all new hire documentation in the HRIS system (Paylocity).

· Create user accounts and access credentials for internal systems and platforms.

· Develop and maintain orientation materials, coordinate schedules with departments, and support the facilitation of onboarding sessions.

· Manage orientation logistics, including attendance tracking, presentation setup, distributing welcome kits, and ensuring all technical aspects run smoothly.

· Prepare and issue proxy cards and coordinate the ordering of ID badges for all new employees.


Payroll Support:

· Assist with reviewing bi-weekly timecard submissions for completeness and accuracy; escalate discrepancies when appropriate.

· Support monitoring and documenting employee attendance points per organizational attendance policies.

· Help manage the payroll inbox by triaging inquiries and forwarding critical items to the Payroll Specialist when necessary.

· Assist with the employee reimbursement process, ensuring proper documentation, approval routing, and timely submission when needed.

· Support verification of employee eligibility for holiday pay and assist with calculations as required.

· Provide employees with accurate and timely information related to payroll and benefits, offering support as needed.


Administrative Duties:

· Serve as a primary point of contact for employee inquiries related to HR processes, policies, and procedures.

· Draft and distribute HR-related communications including internal announcements, memos, and policy updates.

· Perform accurate and timely data entry into the HRIS system and maintain digital personnel files in accordance with organizational and regulatory standards.

· Assist the HR department with scanning and uploading sensitive documents into the HRIS system, ensuring proper file labeling, confidentiality, and organization.

· Maintain an organized and responsive HR department email inbox; sort and file messages according to subject or action required.

· Provide general administrative support to the HR and Payroll departments, including file audits, reporting, and scheduling.


Other Duties:

· Maintains the confidentiality of Hope Christian Health Center employees, contractors, volunteers, and patients.

· Attends and actively participates in staff meetings.

· The Human Resource Assistant ensures compliance with all 19 Health Resources and Services Administration (HRSA) Health Center Program Requirements.

· The Human Resource Assistant is also expected to actively participate in and support quality improvement activities and the clinical practice team efforts emphasizing the importance of the individual patient and putting the patient’s needs first.

· Assists in other tasks as requested.

Requirements

  

Qualifications: 

  • At least one year of previous HR experience - preferred
  • Strong attention to detail – required 
  • Experience with Paylocity - preferred
  • Experience working in healthcare – preferred
  • Proficiency in Microsoft Office - required

Education:

  • High school diploma or equivalent - required.
  • Associate or bachelor’s degree in human resources or a related field - preferred

TYPICAL PHYSICAL DEMANDS: 

Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing, pulling, and lifting and/or moving up to 25 pounds. Frequent sitting. Manual dexterity. Ability to travel to various locations.
