Description

Job Description: We’re seeking a detail-driven Payroll & Benefits Specialist to own day-to-day payroll and

benefits processing with a primary focus on retirement plan operations (401(k), Roth, Safe Harbor, and

employer match) alongside core payroll duties. The ideal candidate is hands-on with Paylocity, understands

retirement plan rules and eligibility to ensure flawless payroll-to-benefits integration, compliance, and

employee experience.


The Payroll & Benefits Specialist is responsible for administering full-cycle payroll with a strong emphasis on

employer-sponsored retirement plans, including 401(k) and Roth 401(k) as well as health and wellness

benefits. This role ensures accurate payroll processing, compliant benefits enrollment and administration,

and an excellent employee experience while maintaining adherence to all federal, state, and regulatory

requirements. The ideal candidate brings deep expertise in retirement plan operations, strong reconciliation

skills, and hands-on experience with Paylocity



  • Payroll Administration
  •  Perform full-cycle payroll processing for hourly and salaried employees, including semi-monthly payrolls.
  • Review and validate timekeeping data, process manual checks, o-cycle payrolls, and retroactive adjustments.
  • Administer payroll deductions, garnishments, and state and local tax setups while ensuring accuracy and compliance.
  • Assist with year-end payroll activities, including W-2 processing and reconciliation.
  • Retirement & Benefits Administration
  • Administer employee benefit programs such as health and wellness, and retirement plans, including eligibility tracking, auto-enrollment, deferral changes, employer match calculations and true-ups.
  • Manage retirement plan transactions such as loans, hardships, in-service withdrawals, distributions ,rollovers, and QDROs, ensuring accuracy and timeliness.
  •  Maintain and audit 401(k) census data and health benefit feeds, reconciling payroll deductions against provider and carrier funding and invoicing and resolving discrepancies promptly.
  • Ensure compliance with ERISA, DOL, IRS, HIPAA, and COBRA requirements; prepare and distribute required notices such as Safe Harbor and QDIA notices.
  •  Serve as liaison with retirement plan recordkeepers, trustees, and benefit vendors. Paylocity System Management
  •  Administer Paylocity Payroll and Benefits modules, including benefit elections, deduction configuration and mapping, audit reports, and payroll processing.
  • Support open enrollment in Employee Navigator by configuring plans, eligibility rules, rates, employee communications, audits, and post-enrollment validation.
  • Train and support employees on Paylocity self-service tools and mobile app functionality. Compliance, Reporting & Controls
  • Ensure compliance with federal, state, and local wage and hour laws, including ACA reporting and workers’ compensation requirements.
  •  Prepare and reconcile payroll, benefits invoices, and retirement-related reports; identify trends and proactively resolve data issues.
  • Support internal and external audits related to payroll, benefits, and retirement plans. Employee Support & Communication
  • Provide responsive, knowledgeable support to employees regarding payroll, benefits, and retirement
  • plan questions.
Requirements

Required Qualifications

  • 3–5+ years of experience in payroll and benefits administration, with direct understanding of 401(k)

plan administration.

  • Paylocity experience required, including Payroll and HR modules.
  •  Strong analytical and reconciliation skills with the ability to investigate and resolve complex data discrepancies.
  • Solid working knowledge of payroll and benefits compliance regulations. Preferred Qualifications
  • Professional certifications such as FPC, CPP, SHRM-CP, or equivalent.
  • Experience supporting audits and working directly with retirement plan vendors and third-party administrators Core Competencies
