Hours: Monday to Friday - 8am to 5pm


Summary & Objective

The Workflow Coordinator's primary responsibility is to prioritize tasks, assign them to the appropriate individuals or teams, and monitor progress to ensure deadlines are met.


Essential Functions

  • Coordinate and manage clinical staff scheduling to ensure timely and efficient patient care delivery.
  • Oversee workflow processes, ensuring all tasks are appropriately assigned and completed within established timelines.
  • Track current EMR workflow, identify workflow bottlenecks, and collaborate with management to implement timely resolutions.
  • Prioritize, delegate, and assign tasks based on team availability, skill sets, and operational needs.
  • Collaboration to align workflows with broader organizational goals.
  • Maintain comprehensive workflow documentation, including timelines, progress updates, and procedural guidelines.
  • Attend regular team meetings to review project status, address challenges, and recommend process improvements.
  • Support training initiatives by onboarding team members on workflow tools, systems, and best practices.
  • Leverage workflow management software to monitor task progress and enhance operational efficiency.
  • Ensure cooperation between teams and stakeholders, ensuring clear communication and managing expectations.
  • Ensure all workflow activities comply with company policies, industry regulations, and quality standards.
  • Provide clinical teams with timely updates on patient status, including admissions, discharges, and census changes.
  • Collaborate with fellow patient care secretaries to manage inventory and order clinical supplies and documentation forms.
  • Monitor daily patient census for accuracy and report discrepancies as needed.

Other Duties

  • Develops and implements various special projects, working in conjunction with the Manager.
  • Evaluate and ensure accuracy in the preparation of documentation.
  • Able to maintain files and other information in an organized manner to ensure follow-up and timely completion of assignments given by the Manager.
  • Excellent telephone and interpersonal skills
  • Ability and willingness to work a flexible Full-Time schedule that may include weekends and holidays.
  • Performs other duties as assigned by supervisor.
  • Maintain your required licenses, certifications, and mandatory skill updates.
  • Comply with all policies, local, state, and federal laws and regulations.

Supervisory Responsibility

  • May serve as an interim department leader depending on need

Physical Requirements

  • Must be able to lift and/or move up to 50 pounds and push/pull up to 250+ pounds, walk, climb stair or ladders, stand on feet for extended periods, etc.

Requirements

Knowledge & Experience Requirements

  • Associate or bachelor’s Degree in a related field preferred or equivalent combination of education and experience.
  • 1-3 years of experience in a Hospice facility or other Health Care Facility preferred.
  • 2-3 years of experience in staffing in a health care setting.
  • Must know computer office/clinical software.
  • Must be able to read, write, and understand the English language.
