KEY OBJECTIVE
The Data Support Specialist supports firmwide operational needs by maintaining accurate, reliable data across the immigration case management system and other internal data sources used by the firm. This role provides frontline assistance to staff by troubleshooting system issues, guiding users through workflows, and documenting recurring problems. It also performs routine data audits, corrects errors and inconsistencies, and assists with data migrations and validation during new client onboardings or system updates. Under the direction of the Senior Manager, the Data Support Specialist helps ensure that firm data remains clean, consistent, and usable by preparing documentation, supporting configuration tasks, and contributing insights that strengthen day-to-day operational efficiency.
MAJOR DUTIES & RESPONSIBILITIES
System & User Support
- Serve as the first point of contact for immigration case management system related questions and basic troubleshooting.
- Assist employees with navigation, errors, and workflow issues within the software.
- Document recurring issues and escalate technical problems when needed.
- Support onboarding of new users, including account setup and basic training.
Data Quality & Maintenance
- Conduct regular data audits to ensure accuracy, completeness, and consistency.
- Identify and correct data errors, duplicates, and formatting inconsistencies.
- Maintain data standards and support firmwide data hygiene initiatives.
- Assist with data imports, exports, and validation during migrations or updates.
Workflow & Process Support
- Support configuration of fields, templates, and workflows under the direction of Firm Operations.
- Participate in testing new features, updates, and system enhancements.
- Create, maintain, and update SOPs, quick reference guides, and training materials.
- Collaborate with staff to understand workflow needs and ensure the system supports operational requirements.
Documentation & Reporting
- Track system issues, user requests, and data quality trends.
- Prepare reports or summaries to support operational decision making.
- Contribute to documentation of processes, standards, and best practices.
MINIMUM REQUIREMENTS
- Bachelor’s degree required.
- Experience in immigration law or related legal field preferred.
- Experience with CRM, case management, or database systems preferred, with particular preference for experience with INSZoom.
- Strong attention to detail and commitment to data accuracy. Analytical thinking and problem-solving skills.
- Ability to learn new software quickly and troubleshoot basic technical issues.
- Clear, patient communication skills and a service-oriented mindset.
- Comfort working with large datasets and repetitive data quality tasks.
- Proficiency with Microsoft Excel and other MS365 applications.
