Role Overview

We are seeking a high-energy, organized, and detail-oriented Asst. Administrator to join our Conroe manufacturing facility. In this role, you will be the central hub of our operations, supporting both our executive team and our production floor. This isn't a "sit-back" desk job; you will be actively managing the flow of paperwork, vendors, and schedules that keep our plant running smoothly. The ideal candidate has a proactive attitude, and at least 2 years of experience in an industrial or construction environment.

Requirements

  

  • Operational Support: Manage the daily flow of      administrative tasks, including answering high-volume calls, distributing      mail, and maintaining office supplies.
  • Production Documentation: Assist with the processing of      Purchase Orders (POs), Bills of Lading (BOL), and shipping/receiving      paperwork.
  • Data Management: Maintain accurate records in our      ERP system and update production spreadsheets in Excel to track output and      inventory.
  • Vendor & Logistics      Coordination: Act as the primary point of contact for vendors and freight      carriers to ensure timely deliveries and pickups.
  • Compliance & Safety: Maintain organized files for      OSHA safety records, employee certifications, and equipment maintenance      logs.
  • Basic Bookkeeping: Assist with basic accounts      payable (AP) and accounts receivable (AR) tasks, including verifying      invoices and processing expense reports.

Requirements & Qualifications

Experience: 2–4 years of experience in an Administrative Assistant, Office Coordinator, Data Entry, or Office Support role — preferably in manufacturing, construction, distribution, or industrial environments.

Technical Skills:

· Proficiency in Microsoft Office (Word, Outlook, and intermediate Excel including spreadsheets, formulas, and data entry)

· Experience using ERP systems such as SAP, QuickBooks, Sage, or Fishbowl is highly preferred

· Office Skills: Ability to manage high-volume phone calls, maintain accurate records, process paperwork (POs, BOLs), and support daily office operations

· Communication: Strong verbal and written communication skills with the ability to work with management, vendors, and production teams

· Work Style: Organized, detail-oriented, and able to multitask in a fast-paced environment

· Bilingual Skills: English/Spanish is a plus but not required
