Seasonal Membership Support Specialist
Description

The Seasonal Membership Support Specialist provides high-volume operational and administrative support to ensure efficient summer membership services. This role is responsible for accurate payment processing, attendance tracking, data entry, membership registration, and front desk coverage during peak morning hours.


While primarily an operations-focused role, the Specialist also supports families and members through customer service, registration assistance, and general membership inquiries. This position plays a key role in maintaining smooth daily operations during the summer surge in youth enrollment.


JOB RESPONSIBILITIES: 

Membership Operations & Payment Processing

• Accurately enter high volumes of membership payments daily

• Issue receipts and maintain organized financial records

• Support tracking of payment plans and outstanding balances

• Assist with daily payment reconciliation and preparation of deposits (if any)

• Maintain confidentiality and security of financial and member information


Data Entry, Attendance & Systems Support

• Enter and update member information in the Vision Membership Tracking System

• Ensure accurate entry and maintenance of daily general attendance records

• Enter and maintain accurate activity and program attendance records

• Support reconciliation of attendance data for reporting, compliance, and funding requirements

• Support daily attendance verification and roster accuracy

• Assist with data cleanup, file organization, and record maintenance

• Identify and report discrepancies to the Membership Coordinator


Front Desk & Registration Support

• Provide front desk coverage during peak morning hours

• Greet members, families, and visitors in a professional and welcoming manner

• Assist families with membership registration and application completion

• Answer phones and respond to general membership and program questions

• Direct families to appropriate staff for program-specific needs


Operational & Administrative Support

• Complete daily opening procedures for membership and front desk areas

• Maintain a clean, organized, and professional reception space

• Prepare membership materials, forms, and packets for daily operations

• Assist with mass communications and mailings to families

• Provide administrative support during peak enrollment periods


Team Collaboration

• Work closely with the Membership Coordinator to support daily workflow

• Provide overflow support during high-volume service periods

• Assist with special projects related to summer enrollment and reporting needs

Requirements

EDUCATION and/or EXPERIENCE, LICENSURE AND CERTIFICATION

  • High School Diploma or equivalent required
  • Experience in administrative, customer service, or office support experience preferred
  • Experience processing payments preferred
  • Strong and accurate data entry skills
  • Proficient in Microsoft Office (Outlook, Word, Excel) and database systems
  • Bilingual English/Spanish preferred

  • Strong attention to detail and accuracy
  • Highly organized with ability to manage repetitive high-volume tasks
  • Professional and friendly customer service demeanor
  • Reliable, punctual, and able to work independently during morning coverage
  • Able to handle sensitive financial and membership information confidentially
  • Comfortable working in a fast-paced youth-serving environment
  • Strong communication and teamwork skills

WORKING CONDITIONS and DRIVING

  • Travel between Boys & Girls Clubs of Metro Los Angeles sites and schools and various field trip sites as well as in the community is required. Must meet the insurance standards of Boys & Girls Clubs of Metro Los Angeles. 
  • This position may be assigned to any sites within the Club as needed to accommodate changes in programming, staffing, or operational requirements.
  • Hours are based on school calendar and attendance patterns/trends – evening hours are required during the school year; hours will vary during summer and school breaks; occasional weekend hours are required

Work environments may vary, encompassing both indoor and outdoor conditions based on activity locations. Additionally, interactions with youth and adults may involve moderate to high noise levels during activities. Physical exertion may be necessary to move and transport supplies and equipment.
