The Project Coordinator will support the administration of the Summer 2026 Science and Engineering Apprenticeship Program (SEAP) and Naval Research Enterprise Internship Program (NREIP) by coordinating all security processing requirements for participating interns. This role will work directly under the direction of the Program Manager and will serve as the primary coordinator responsible for managing security clearance documentation, fingerprinting requirements, and base access coordination for interns requiring access to Naval installations. The Project Coordinator will ensure all interns requiring security processing are properly vetted and processed in accordance with applicable security requirements and program timelines.
Key Responsibilities
Security Clearance Processing
• Coordinate the security clearance process for interns requiring access to Naval installations.
• Provide instructions and guidance to interns on completing required security documentation and forms.
• Monitor completion of security paperwork and ensure all required information is submitted accurately and on time.
• Track the status of security clearance submissions and maintain records of clearance processing milestones.
Fingerprinting Coordination
• Coordinate and facilitate electronic fingerprinting requirements for interns requiring security processing.
• Ensure fingerprinting is scheduled and completed in accordance with security processing timelines.
• Verify completion of fingerprint submissions and ensure documentation is properly recorded.
Security Documentation Management
• Collect and review required security forms and supporting documentation from interns.
• Ensure all required materials are complete and submitted to the appropriate security offices.
• Maintain organized records of security documentation and clearance tracking.
Clearance Status Tracking
• Maintain a tracking system for interns undergoing security clearance processing.
• Monitor clearance progress and notify the Program Manager and Government stakeholders when interns receive interim or final clearance determinations.
• Identify and communicate any delays or issues that may impact intern onboarding timelines.
Base Access Coordination
• Provide necessary documentation to Naval site security offices to facilitate base access for interns.
• Coordinate with laboratory security personnel to ensure interns meet all installation access requirements prior to program start dates.
Coordination and Communication
• Communicate regularly with interns regarding security processing requirements, timelines, and next steps.
• Coordinate with the Program Manager, Government program office, and Naval site security personnel to ensure smooth processing.
• Provide updates to the Program Manager on security processing status and any issues requiring escalation.
• Bachelor’s degree in Business Administration, Human Resources, or a related field.
• Secret level DoD security clearance.
• Experience processing security clearances through DISS and NBIS.
• Experience coordinating e-fingerprinting collection.
• Strong understanding of the DoD Security Clearance process and associated forms and agreements (SF-86/eAPP, SF312 NDA, etc.).
• Strong organizational and administrative coordination skills.
• Experience tracking and managing documentation for multiple individuals simultaneously.
• Ability to manage sensitive information and maintain confidentiality.
• Strong written and verbal communication skills for coordinating with interns and security personnel.
• Experience supporting federal government programs with security processing activities.
• Strong attention to detail and commitment to accuracy and timeliness
• Ability to handle sensitive information in accordance with security requirements
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Teams, Outlook)
