Description
The Specialist, Inventory Operations is responsible for maintaining accurate, reconciled inventory across all FitLab brands and storage locations while providing visibility into inbound and outbound logistics activities that impact inventory availability. This role ensures system integrity across ERP and 3PL platforms and serves as the operational bridge between freight movement, inventory accuracy, and financial reconciliation.
Inventory Accuracy & Reconciliation
- Oversee daily and weekly inventory reconciliations between 3PL partner reports and FitLab’s ERP systems, including serial number audits and reconciliation where required.
- Review inbound receipts, outbound orders, returns, and adjustments for accuracy and timing.
- Lead and coordinate cycle counts and full physical inventory efforts across all 3PL facilities and applicable Fitlab locations.
- Investigate discrepancies, determine root causes, and drive resolution and prevention actions.
- Maintain SKU integrity (descriptions, packaging, dimensions, unit of measure, and categorization) in Fitlab ERP systems.
Systems & Data Integrity
- Manage and audit inventory transactions within Full Circle v14.1, NetSuite, and 3PL portals.
- Ensure synchronization and consistency between all systems (3PL, ERP, and financial).
- Partner with Accounting to support month-end close and inventory valuation reporting.
- Develop and maintain reports that monitor on-hand quantities, adjustments, and movement trends.
- Audit freight-related system transactions to ensure shipments are accurately reflected in ERP and 3PL systems.
- Support freight invoice validation by reconciling shipment data with inventory movements (in partnership with Accounting).
3PL & Cross-Functional Coordination
- Serve as the primary contact for all inventory-related issues with 3PL partners.
- Collaborate with 3PL partners to ensure outbound shipment readiness and inventory visibility, without direct ownership of carrier selection, freight negotiations, or SLA contracts.
- Work closely with Brand Operations, Planning, Purchasing, and Customer Service to ensure stock availability and timely fulfillment.
- Provide proactive communication on stock discrepancies, aging inventory, and at-risk SKUs.
Logistics Visibility & Freight Coordination
- Maintain system-level visibility to inbound and outbound freight movements that impact inventory timing and availability.
- Coordinate with 3PL partners to ensure accurate and timely receipt of inbound freight and proper system recording of all shipments.
- Track inbound purchase orders from supplier dispatch through warehouse receipt to ensure accurate inventory timing.
- Monitor shipment status for inventory timing and proactively communicate delays to the appropriate stakeholders.
- Support resolution of shipping exceptions in collaboration with Customer Service and 3PL partners.
- Ensure all inbound receipt and outbound fulfillment transactions are properly recorded in NetSuite and associated 3PL systems.
- Monitor backorders and communicate with Purchasing, Planning, and Brand Operations regarding fulfillment risks.
- Assist in freight performance reporting by providing inventory-related data and shipment reconciliation insights (carrier performance ownership resides outside this role).
Process Ownership & Compliance
- Create, document, and enforce SOPs for inventory control procedures across all brands and warehouse locations.
- Track and report KPIs for accuracy, reconciliation timing, and adjustment frequency.
- Support internal and external audits with documentation and detailed inventory data.
- Drive continuous improvement initiatives to reduce discrepancies and improve data flow between systems and partners.
Requirements
Minimum required:
- At least 4–6 years of experience in supply chain or related
- High school diploma + relevant experience
Preferred:
• Associate’s or Bachelor’s in Supply Chain Management, Business Administration, or Operations Management
Salary Description
$34-$36 per hour
