Sun World is seeking a Licensing Administrative Assistant to join the team in Peru. The Licensing Administration Assistant will manage licensing files, reports and provide general administrative support. The ideal candidate will have excellent written and verbal communication skills with strong attention to detail and will be well organized and committed to meeting critical deadlines.
MAIN DUTIES:
Create and maintain domestic and international agreements or related documents under supervision and in accordance with regional regulations and best business practices.
Manage, create and maintain the collection and record keeping of (a) Royalty Reports, (b) Invoices, (c) Requests for Billing for all Domestic and International Fruit Fee and Propagation Fees.
Create and/or maintain a variety of reports, analysis, projections and documents related to licensing, royalties, expenses, budget tracking and proprietary plant inventory;
Coordinate and attend company events independently or in a team environment, as needed;
Provide general administrative and office management duties and support to the Licensing Manager and as further directed by Licensing Manager or Global Licensing Vice President.
Submit approved accounts payable to Finance department for payment (S&T, local office rent, other reimbursement cost)
RESPONSIBILITIES:
Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company.
Oversee and maintain the Licensing Manager’s daily calendar of meetings and events. Skillfully organize complex calendars and align the availability of others to confirm scheduling of all types, resolving conflicts with respectful consideration and finesse.
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization. Extensive use of Outlook and MS Teams, as well as DocuSign, Publisher, Adobe Pro and other software.
Collect receipts and prepare expense reports. Process invoices.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information.
Excellent communication and time management skills; proven ability to meet deadlines.
Ability to function well in a high-paced environment; performs additional duties as assigned.
Maintain the Licensing Manager’s directory of contacts.
Assist in preparation and publishing of digital & print presentation materials, slide decks, financial spreadsheets & charts, bound reports, etc.
Use discretion, confidentiality, and good judgment to handle C-Level matters.
Represent the company and the Licensing Manager in a positive light through great follow-through skills and sound judgment.
Complete ad hoc projects as assigned.
Meeting & event planning as assigned.
Assist IP and Licensing Operations Lead.
Collect all details and components to fully execute business contracts
REQUIREMENTS:
Bachelor's degree required.
A minimum of 3 years of related experience required working in an Administrative role.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint & Teams).
Ability to communicate effectively and professionally. Fluency in English and Spanish is required.
Flexible hours as dictated by the needs of business for projects and meetings.

LOCATION AND SCHEDULE INFORMATION:
To be considered for this role, the candidate must live in or close to Lima. In the future, Sun World plans to have an office in the Lima area (at which time the work schedule will be hybrid). Until then, this person will work from home 100% of the time. General working hours will be 9am - 5pm; however, there will be times when flexibility will be required and the person will need to work earlier or later dependent on business needs.
