Overview
Intermountain Home Services is seeking a highly organized and resourceful Executive Assistant to provide direct support to our CEO. In this role, you'll manage calendars, coordinate travel, meetings, prepare materials, and act as a liaison across departments. This critical role requires someone who can anticipate needs, streamline operations, and handle sensitive information with absolute confidentiality.
The ideal candidate is detail-oriented, flexible, and thrives in a fast-paced, high-performance environment.
Key Responsibilities
- Manage complex calendars, schedule meetings, and prioritize daily activities for executive leadership
- Coordinate travel arrangements, including flights, hotels, ground transportation, and itineraries
- Prepare meeting agendas, presentations, and reports; take notes and track follow-up items
- Act as a point of contact between executives and internal/external stakeholders
- Screen calls, emails, and meeting requests, responding or escalating as needed
- Support planning and execution of leadership meetings, events, and offsites
- Maintain organized systems for files, documents, and expense reports
- Track deadlines, monitor action items, and ensure nothing falls through the cracks
- Maintain a high level of discretion and confidentiality regarding business and personnel matters
- Perform ad hoc tasks and projects to support leadership and business initiatives
Qualifications
- 3–5 years of experience as an executive assistant or senior-level administrative support
- Strong calendar, travel, and communications management skills
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and virtual meeting tools
- Excellent written and verbal communication
- Ability to handle shifting priorities and multitask in a dynamic environment
- Professional presence and demeanor
- Experience in high-growth, multi-entity, or field-service organizations a plus
- Bachelor’s degree or equivalent is preferred
