ESSENTIAL FUNCTIONS


The Executive Meeting Manager is responsible for generating business, strengthening client relationships, and ensuring successful execution of events. Key responsibilities include:


Sales & Client Development

  • Maintain strong relationships with existing customers while actively developing new business.
  • Consistently solicit new clients through phone calls, emails, networking, and local outside sales efforts.
  • Manage account details to ensure all aspects of solicitation, contracting, and closing are accurately documented.
  • Conduct property tours and prepare materials for site inspections.
  • Facilitate competitive set tours and build professional relationships to encourage referrals.
  • Attend industry-related meetings, networking events, and community functions to promote the hotel.
  • Review competition reader boards regularly and develop leads from market intelligence.
  • Respond to all sales leads within 24 hours.

Event Planning & Execution

  • Work closely with clients to identify needs and design tailored event programs.
  • Responsible for full detailing of events, including preparing Banquet Event Orders (BEOs).
  • Partner with the Banquet Supervisor and operational teams to ensure flawless event execution.
  • Welcome group contacts upon arrival and remain available throughout events to ensure satisfaction.

Performance Management & Reporting

  • Meet or exceed budgeted goals for food, beverage, room rental, and audio/visual revenue.
  • Complete required monthly forecasting and reporting accurately and on time.
  • Manage workload effectively with strong attention to detail.
  • Conduct weekly sales calls to maintain relationships and solicit new opportunities.
  • Responsibilities may evolve based on the needs of the hotel.
Requirements

Knowledge, Skills & Abilities

Candidates must possess the following competencies and be able to demonstrate their ability to perform the essential functions with or without reasonable accommodation:

  • Ability to speak, read, write, and understand the primary language(s) used in the workplace.
  • Strong verbal and written communication skills.
  • Ability to work independently and as a leader within a team environment.
  • Basic computer proficiency (Microsoft Office, CRM systems, email platforms, etc.).
  • Knowledge of hotel operations, competitive markets, and local demand drivers.
  • Strong commitment to delivering exceptional guest satisfaction.
  • Ability to make effective decisions with general policy guidelines and minimal supervision.

AVAILABILITY

Vinayaka Hospitality operates 24/7. This position typically works Monday through Friday, with schedule variations based on business needs.

  • Weekend or holiday shifts may occasionally be required.
  • Business levels determine weekly hours, and schedule adjustments may occur to meet operational and client demands.
Salary Description
$50,000 - $55,000 per year
