The Insurance Services Billing Specialist supports Gravis Law’s relationship with third party insurers that provide a client network to Gravis for defined legal services at established billing rates. As part of our Finance group this role will assist in coordinating between Gravis, its attorneys, and the third-party insurance company, as well as support the Insurance Services Team Lead on the continued success, expansion, and development of the relationship with the insurance providers. This role will also assist the Insurance Services Team Lead with training and support to attorneys performing legal services within these networks, ensure invoicing, collections, and all related processes are adhered to ensure Gravis’ relationship within these networks remains positive and effective. This position acts as the subject matter expert related to legal insurance and offers guidance and directives to attorneys, support staff, and finance. While the position will initially focus on 1-2 key providers, the role is tasked with identifying and presenting other similar opportunities for Gravis’ alignment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Regularly communicates with Insurance Services Team Lead regarding legal insurance providers issues, opportunities, and process changes required to successfully align with provider protocols.
- Performs legal insurance eligibility verification. Notifies attorney and updates matter of eligibility restrictions, client financial obligations.
- Performs daily audits on legal insurance matter records to ensure timecard and billing/rate accuracy including the presence of complete and compliant timecard documentation; initiates corrections and communicates errors on billing to attorneys, support staff and finance; requests additional information or documentation as needed.
- Ensures platform requirements are met relative to individual services and invoicing requirements are met particularly relevant to sub-categorized services. (e.g. Estate Planning).
- Proactively resolves payment issues by anticipating and identifying problems and coordinating appropriate solutions prior to claim submission; corrects fees on billing as needed prior to claim submission; responds to payor requests for additional information for pending claims.
- Submits legal insurance claims and pre-authorizations with required documentation in electronic, hard copy, or manual formats.
- Generate, research, analyze, and resolve aged insurance balances. Collect relevant correspondence, analyze information, apply appropriate follow up procedures in a timely manner.
- Process requests for client claim reimbursement forms. Verify timecard accuracy, documentation requirements and matter charges; Communicate necessary corrections to attorneys.
- Assist attorneys in understanding coverage limits and when/if/and how to request additional coverage expenditures above limits.
- Assists Gravis in understanding and leveraging all services that we are able to provide within the insurance parameters and drives expansion where feasible both in location and service type.

MINIMUM REQUIREMENTS*:
- Bachelor's degree in business, accounting, or related field.
- 2 - 4 years of professional legal operations experience.
- Knowledge of legal insurance billing policies and experience working with providers
- Knowledge of accounts receivable and collections processes.
- Ability to manage multiple job priorities and tasks efficiently, effectively, and accurately while demonstrating close attention to detail.
- Ability to independently identify, research, and/or resolve billing conflicts with legal insurance companies and client accounts.
- Experience developing and presenting training materials.
- Knowledge and experience navigating and interacting with Gravis’ Case Management systems and lead generation processes.
- Ability to support and contribute to a positive and productive team environment.
- Advanced skills with Microsoft Office suite
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.

WORK ENVIRONMENT/CONDITIONS/PHYSICAL DEMANDS:
Insurance Services Billing Specialist may work remotely or from one of Gravis Law’s office locations. Some in-person work may be necessary for the completion of special projects. Whether in-person or remote, employees must have the ability to maintain regular, punctual attendance consistent with Gravis policy. While performing the duties of this job, the employee will occasionally be required to work weekends, holidays, be on call, and some employees could be required to travel overnight on occasion.
