The Event Manager plays a critical role in planning, executing, and supporting events across multiple BridgeTower Media brands. This role is responsible for managing event logistics, timelines, and overall execution while collaborating closely with sales, editorial, production, and marketing teams.
This role requires a self-starter who can operate autonomously while leveraging internal partners to execute at a high level. The environment can be fast-paced and, at times, chaotic, success in this role comes from strong organization, the ability to prioritize effectively, anticipate next steps, and maintain a strong sense of urgency.
We’re also looking for someone who enjoys being in the mix, comfortable interacting with teams, vendors, and clients, and bringing a positive, outgoing presence to both planning and onsite execution.
Duties + Responsibilities:
Event Planning & Execution
- Lead planning and execution of assigned events from kickoff through post-event follow-up
- Manage timelines, key milestones, and deliverables across all phases of the event lifecycle
- Coordinate event flow, run-of-show, staffing plans, and onsite execution
- Anticipate needs and proactively solve problems before they arise
Venue, Vendors & Logistics
- Source venues and vendors (catering, A/V, photography, etc.) and manage relationships through execution
- Negotiate contracts and support internal approval processes
- Oversee event logistics including setup, food and beverage, A/V coordination, and onsite operations
- Ensure all third-party partners are aligned with event requirements and timelines
Financial & Budget Management
- Manage event budgets, tracking forecast vs. actuals and ensuring accuracy across reporting tools
- Maintain a strong focus on cost management and overall event profitability
- Partner with sales and leadership to stay aligned on revenue and expense performance
Marketing, Nominations & Website Oversight
- Collaborate with internal teams to support marketing campaigns, including email and social promotion
- Support nomination and application processes by coordinating timelines, communications, and reporting
- Oversight to ensure event websites and registration pages remain accurate and up to date
Registration, Guest Experience & Data Management
- Oversee registration accuracy and functionality in coordination with internal partners
- Manage guest lists, seating assignments, and event floorplans
- Coordinate attendee communications including confirmations, reminders, and post-event surveys
- Ensure high-quality experience for attendees, sponsors, and honorees
Event Materials & Deliverables
- Review & print all event-related materials including signage, programs, presentations, and awards
- Work with internal creative and production teams on development and proofing; manage final production and delivery as needed
- Ensure all sponsor deliverables and onsite benefits are fulfilled
Stakeholder Communication & Collaboration
- Serve as the primary point of contact for event-related coordination and questions
- Work cross-functionally with sales, editorial, production, and marketing teams
- Provide regular updates to leadership on event progress and key milestones
Revenue Support & Performance Tracking
- Support sponsor fulfillment and coordination of deliverables
- Monitor ticket sales, discount codes, and attendance tracking
- Assist with post-event reporting including year-over-year comparisons and insights
Onsite Event Management
- Lead onsite execution, ensuring all logistics, vendors, and stakeholders are aligned
- Manage real-time problem solving and ensure events run on time and at a high standard
- Oversee setup, breakdown, and overall event experience
Skills + Qualifications:
- 3–5+ years of event planning, project management, or related experience
- Strong organizational and multitasking skills with high attention to detail
- Proven ability to manage multiple priorities in a fast-paced environment
- Ability to work independently while collaborating effectively across teams
- Strong communication skills and an outgoing, professional presence
- Willingness to travel approximately 30–50% depending on event schedule
- Proximity to a major airport in the Midwest or Pacific Northwest preferred
- Reliable home internet connection with minimum 50mbps up/10mbps down
