Position Summary

The Receptionist serves as the first point of contact for customers and visitors, providing a professional and welcoming experience. This role is responsible for managing incoming calls, greeting guests, and supporting administrative functions to ensure smooth daily operations within the dealership.

Key Responsibilities

Customer Service & Front Desk

  • Greet and welcome all customers, vendors, and visitors in a friendly and professional manner 
  • Direct guests to appropriate departments (Sales, Service, Parts, Finance) 
  • Maintain a clean, organized, and presentable reception area 

Phone & Communication Management

  • Answer, screen, and route incoming phone calls promptly and professionally 
  • Take accurate messages and ensure timely delivery to staff 
  • Assist with basic customer inquiries or direct calls appropriately 

Administrative Support

  • Perform data entry and maintain customer records as needed 
  • Assist with filing, scanning, and document organization 
  • Support dealership staff with clerical tasks and special projects 
  • Handle incoming and outgoing mail, packages, and deliveries 

Cash Handling

  • Process payments and issue receipts accurately 
  • Balance cash drawer and assist with end-of-day reporting 

Qualifications

  • High school diploma or equivalent required 
  • Previous receptionist, customer service, or administrative experience preferred (automotive experience is a plus) 
  • Strong communication and interpersonal skills 
  • Professional appearance and positive attitude 
  • Ability to multitask in a fast-paced environment 
  • Basic computer skills (Microsoft Office, CRM systems, or dealership software) 

Work Environment

  • Fast-paced automotive dealership setting 
  • Frequent interaction with customers, staff, and vendors 
  • May require evening or weekend shifts based on dealership hours
