Description

POSITION OVERVIEW: The Technical Coordinator/AV Project Manager leads the planning and execution of live and virtual events, manages on-site production, and ensures outstanding client service. Responsibilities include client consultation, event design, equipment prep, and project oversight. Flexible hours and occasional travel are required.  


 REPORTING RELATIONSHIPS/SUPERVISORY RESPONSIBILITIES:?The AV Project Manager works directly with our Operations and Sales teams, and reports to the Vice President of Operations and maintains supervisory project assigned responsibilities for company sta? and contract employees as needed at Bell Tree Productions managed events. Additional direct reports may be assigned, as necessary.  


POSITION SUMMARY:?The AV Project Manager at Bell Tree Productions oversees the full lifecycle of live and virtual events, including AV rentals and on-site production management. This role supports weekly operational tasks and collaborates with the sales and development teams as needed. Serving as a technical lead, the position manages on-site production staff and ensures exceptional client experiences through precise execution and high-level customer service. 

Core responsibilities include client consultation, understanding AV needs, event planning and design, equipment preparation and testing, pre-event setup, event execution, and post-event follow-up. The role may function as a project lead or technical specialist depending on event requirements. 

Success in this position requires independent judgment, strong technical expertise, strategic and operational thinking, excellent communication, and reliable customer service. Flexible hours—including evenings, weekends, and occasional overnight travel—are required.

POSITION PRIMARY RESPONSIBILITIES 

  1. Oversee Live Event Production activities, including planning, inventory, equipment testing, builds, production, event staff management, and tear-down. 
  2. Attend meetings with the stakeholders to assess logistics. 
  3. Serve as the main point of contact and Project Lead on assigned projects. 
  4. Recognize and identify subrentals, sta?ng needs, and travel requirements.  
  5. Schedule and lead project meetings for successful event execution. 
  6. Evaluate project success, gather client feedback, and conduct internal debrief meetings. 
  7. Assist with sales and project development, including site visits, bid/proposal documentation, drawings, and renderings. 
  8. Maintain regular communication with the operations and sales team before, during, and after assigned projects. 
  9. Oversee and ensure safe working practices, including review of potential safety concerns. 
  10. Identify and mitigate risks associated with potential projects and ensuring that all required equipment, power, rigging, network, access have been documented and prepared for. 
  11. Maintain and update event reports, notes, and application information. 
  12. Provide guidance and support to direct reports for successful event execution. 
  13. Maintain a professional appearance and demeanor. 
  14. Perform other duties as assigned.

PREFERRED QUALIFICATIONS  

Education: 

  • Bachelor’s degree or equivalent experience. 

Skills: 

  • Demonstrated leadership and problem solving skills. 
  • Demonstrated communication skills, including the ability to synthesize and present information at the appropriate level for various stakeholder groups. 
  • Expertise in event technical operations and installation, specifically with lighting design and application.  
  • Ability to learn new products and processes and demonstrated ability to communicate concerns and provide alterations to stakeholders and collaborate across all departments for maximum functionality.  
  • Experience with CAD Diagramming, event pre-visualization, inventory management software preferred. 

Years of Experience:?Three-plus years of progressively responsible experience in event technical consultation, planning, and production, or other applicable discipline with proven results in delivering high quality events. 

License(s):?Valid Driver’s License. 

Certi?cation(s):?Certi?cations related to entertainment rigging, entertainment electrician, project management, or other technical certi?cations (manufacturer or CTS), preferred. After hiring, complete all required safety training and certi?cations, as assigned. 

WORKING CONDITIONS:  

  • Physical Demands: Regular lifting and moving of equipment weighing up to 50–100 pounds, alongside extensive walking, standing, and bending.  Position requires the ability to stand on a concrete ?oor for long periods of time and lift and/or move equipment at least 60 pounds on a repetitive basis. The Candidate must be able to lift equipment from ?oor height to overhead while loading/unloading trucks or preparing gear for events. Candidate must have the ability to climb and work (focus, adjust, and repair) at heights in excess of 40 feet before, during, and after events, installations, and projects. 
  • Environment: Primarily indoors, though some roles include outdoor, on-location work in various weather conditions.  
  • Schedule: Non-standard, including evenings, weekends, and holidays to accommodate event schedules. 
  • Environment Exposure: Occasional exposure to high noise levels, bright lights, low lighting conditions, and time-sensitive situations. 
  • Hazards: Working in confined spaces, dealing with electrical wiring, and working at heights.  Intermittent use of a variety of hand and power tools 
  • Interpersonal: High interaction with clients and team members in a fast-paced, collaborative, and sometimes high-stress environment. 
  • Technical Skills: Use of hands for intricate work, such as handling and organizing cables, connecting and securing equipment, configuring AV systems, and operating complex equipment.  

Personal Protective Equipment (PPE): 

To be provided for site visits or job sites, as required.

Schedule: 

  • This position is an hourly position that is scheduled on a weekly basis in accordance with the team’s upcoming event and logistics schedules. Schedules may include a mix of regular office-hours days, early morning, late evening, and weekend coverage for events as required.  
  • This position is overtime eligible after 40 hours worked in a work week.  

Experience: 

  • Live Event Production: 3 years (Preferred) 
  • Lighting Design and Application: 2 years (Preferred)
Salary Description
$23.00 - $25.00 per hour
