Program Administrator - REMOTE (PART-TIME)

GENERAL SUMMARY

The Program Administrator (PA) position will work remotely with the St. Matthew’s House staff to ensure that documentation collection, input, tracking, and statistics align. The primary responsibilities are to provide support to the staff on the inner workings of Mission Tracker, rosters, system questions, reports, SharePoint, and data analysis across various departments (per CEO and Supervisor guidance). PA would work directly with the Program Director in coordinating all tasks and assignments per SMH needs.


ESSENTIAL TASKS

  • Monitor and approve program fees and data accuracy in Mission Tracker.
  • Develop, manage, and maintain data infrastructure (including Mission Tracker, Excel systems, and Power BI dashboards) to capture, analyze, and visualize impact for all SMH programs.
  • Standardize data collection, entry, and reporting practices across departments to ensure consistency and reliability in program metrics.
  • Lead development of automated dashboards and reporting frameworks that provide real-time insights into programmatic efficacy and impact.
  • Conduct in-depth analyses of admissions, discharges, and long-term resident trends to evaluate program success and identify areas for improvement as needed.
  • Maintain accuracy of resident admission, discharge, and occupancy data across systems through monthly reconciliation and review.
  • Collaborate with program directors and supervisors to translate data insights into actionable strategies for program growth and operational efficiency.
  • Oversee the preparation of data-driven reports for leadership, grant applications, audits, and community stakeholders.
  • Implement audit and quality control processes to ensure the accuracy, completeness, and integrity of program data.
  • Generate or prepare internal reports using program data when leadership requires them.
  • Respond to staff questions related to documentation, systems, and administrative processes.
  • Provide administrative and technical support related to SharePoint and internal program systems.
Requirements

KNOWLEDGE, SKILLS, AND ABILITIES

  • High school diploma or equivalent.
  • Certified Recovery Peer Specialist or Certified Recovery Support Specialist desired.
  • A minimum of 2-years’ experience working with individuals who are homeless or suffering from addiction.
  • A minimum of 2-years’ experience working in administrative and data/system analysis for a non-profit organization
  • Exercises appropriate boundaries and confidentiality with the company’s information.
  • Must be willing to work a non-standard work schedule, including nights, weekends, and other unusual hours due to business needs.
