Summary of Position:


The Administrative Operations Coordinator plays a key role in supporting the day-to-day administrative and operational needs of the organization. This position provides front desk coverage while also supporting procurement, vendor coordination, and internal administrative processes across G&A and M&O functions.


This is a highly collaborative, hands-on role ideal for someone who enjoys balancing customer-facing responsibilities with operational support.


This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely until further notice. 

Requirements

  

  

Front Desk & Office Support

  • Provide professional, welcoming front desk coverage and serve as the first point of contact for guests and visitors 
  • Ensure consistent reception coverage during business hours (in coordination with internal staff rotation) 
  • Manage incoming mail, packages, and deliveries 

Administrative & Operational Support

  • Support procurement activities, including placing orders and tracking purchases 
  • Managing Fed Ex invoices
  • Coordinate vendor scheduling for maintenance, facilities, and M&O-related services 
  • Assist with submitting and tracking payment requests, invoices, and expense reconciliations 
  • Partner with Finance to ensure proper documentation and timely processing 

Coordination & Communication

  • Assist with internal communications such as office updates and inclement weather notifications 
  • Maintain office systems such as directories, shared calendars, and administrative trackers 
  • Support cross-functional administrative needs across HR, IT, Events, and Facilities 

General Support

  • Help maintain an organized, efficient, and well-functioning office environment 
  • Take on additional administrative and operational tasks as needed Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines

Education/Experience

  • Bachelor’s degree
  • 3–5 years of relevant administrative or operations experience 
  • Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position

Knowledge, Skills, Abilities:

  • Experience supporting office operations, procurement, or coordination activities 
  • Strong organizational skills and attention to detail 
  • Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world

Technical Requirements:

  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role
  • Experience with Canva, Zoom and Salesforce is helpful
