Position Summary: The Payroll/HR Coordinator is a critical administrative professional who bridges the gap between the Human Resources and Finance/Accounting departments.
Human Resources (30%)
Supports daily Human Resources administrative operations, including recruiting, onboarding, employee records, benefits administration, and HR compliance. They ensure all employees are paid accurately and on time while maintaining compliance with labor laws and managing essential personnel data. Provides administrative support to one or more human resources functions, including recruiting, HRIS, onboarding, HRIS, and personnel inquiries. Processes HR department applications, including employment and enrollment applications; maintains HRIS and employment records. May conduct pre-employment screening checks, references, and respond to general HR inquiries from staff members.
Payroll (70%)
Provides accurate preparation, documentation, distribution, and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting for review by the Director of Finance and Accounting. Responds to and resolves any inquiries regarding paychecks from staff members or payroll reporting. Ensures payroll issues are escalated and resolved promptly. The HR/Payroll Coordinator serves as a point of contact for employee payroll questions and works closely with HR and Finance to resolve discrepancies. Process multi-state payroll and maintain working knowledge of FLSA and multi-state overtime rules. Maintain multi-state payroll tax codes ; coordinate updates and troubleshooting with Paylocity. Download and maintain payroll reports, payroll GL, quarterly tax reports, W-2s, and 1099s; ensure all payroll records are audit-ready. Assist the Director of Finance & Accounting with the annual financial audit and workers’ compensation audit for payroll-related items.
Essential Job Functions:
Human Resources (30%)
- Support new hire onboarding and offboarding processes.
- Maintain employee files and HRIS records with accuracy and confidentiality.
- Assist with benefits administration and employee inquiries.
- Coordinate background checks, I-9s, and required documentation.
- Support recruitment activities (job postings, interview scheduling).
- Assist with HR reporting and data tracking.
- Help ensure compliance with federal, state, and local labor laws.
- Provide general administrative support to the HR team.
- Other duties as assigned.
Payroll (70%)
Payroll Processing
- Process regular, supplemental, and off-cycle payrolls accurately and on schedule.
- Maintain compliance with FLSA overtime rules and all applicable state wage and hour laws.
- Verify employee hours, rates, earnings, and deductions.
Multi-State & Tax Compliance
- Maintain multi-state payroll tax codes, rates, and jurisdiction setup.
- Ensure correct state, local, and federal tax withholding.
Payroll System & Data Management
- Coordinate system updates, configuration changes, and troubleshooting with payroll vendors (e.g., Paylocity).
- Ensure accuracy of payroll GL posting and perform reconciliations.
Reporting & Documentation
- Generate and maintain payroll reports, GL reports, and quarterly tax summaries.
- Prepare year-end documents including W-2s, 1099s, and ACA reporting.
- Ensure all payroll records are audit-ready.
Compliance & Policy Administration
- Stay current on federal, state , city and or district payroll regulations, including wage and hour laws.
- Apply company policies related to payroll, timekeeping, and compensation.
- Support internal controls and maintain confidential payroll data.
Employee Support
- Respond to employee payroll inquiries in a timely and professional manner.
- Resolve discrepancies related to pay, taxes, deductions, and time reporting.
Audit & Financial Support
- Assist Finance and Accounting with annual financial audits, workers’ compensation audits, and payroll-related reconciliations.
- Maintain documentation required for compliance reviews.
- Other duties as assigned.
Qualifications:
Human Resources
- 1–3 years of experience in an HR or administrative role.
- Basic knowledge of HR practices and employment laws.
- Strong organizational and time-management skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- HRIS experience (Paylocity or similar HR platforms preferred).
- Ability to handle confidential information with discretion.
Payroll
- 3 to 5 years of experience in payroll processing.
- Multi-state payroll processing experience preferred but not required.
- Very detail-oriented and highly organized.
- Strong troubleshooting skills with timesheets and confidence using payroll systems.
Education: Associate or Bachelor’s degree in Human Resources or related field. Associate or Bachelor’s degree in Accounting, Business Administration, Finance, or a related field.
Supervisory Responsibility: This role will not have supervisory responsibility over other staff.
Work Environment/Travel: This is a remote role. Travel will be required to attend meetings and conferences. This position requires mandatory travel twice per year to attend Futuro Health’s Spring and Fall In-Person All-Hands events. Participation in these events is an essential function of the role, as these gatherings support strategic alignment, cross-department collaboration, and organizational effectiveness, which cannot be fully achieved in a virtual format. As a condition of employment, employees must be able to fulfill this twice-yearly travel requirement. Reasonable accommodations will be provided as required by applicable law.
Physical Demands: Able to sit, stand, and type for long periods of time. Ability to work irregular hours including after hours and weekends although this will be infrequent. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Position Type: This position is full-time, non-exempt. The hours may include weekends, nights and holidays.
