The Legal Secretary provides direct administrative and legal support to the General Counsel. This role is central to the daily operations of the legal office and requires a professional who can manage multiple priorities, exercise sound judgment with confidential information, and produce high-quality written work product under deadlines.


Essential Functions


  • Draft, format, proofread, and edit legal correspondence, memoranda, contracts, resolutions, and public records responses.
  • Manage the General Counsel’s calendar, including scheduling meetings, deadlines, hearings, and follow-ups.
  • Maintain organized case files, legal documents, and records in both electronic and physical formats.
  • Coordinate with outside counsel, opposing counsel, government agencies, and internal departments.
  • Handle confidential and time-sensitive materials with discretion and professionalism.
  • Assist with basic legal research, document review, and preparation of materials for litigation and administrative proceedings.
  • Process incoming public records requests, track response deadlines, and prepare production packages.
  • Support general office operations, including filing, scanning, phone coverage, visitor intake, and correspondence management.
Requirements


  

  • At least 60 college level credit hours and previous experience and/or training involving client service, general office work, cashiering, data entry, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid Florida driver’s license. 
  • 3+ years of experience working as a legal secretary, paralegal, or executive assistant in a public sector or legal setting.
  • Proficiency in Microsoft Office, particularly Word, Outlook, and Excel.
  • Strong written and verbal communication skills, including the ability to draft, edit, and proofread professional documents.
  • Excellent time management and organizational skills with the ability to handle multiple tasks and deadlines simultaneously.
  • High degree of professionalism, discretion, and reliability.
  • Comfort with technology, including document management systems, databases, and office productivity tools.
  • Ability to work independently and as part of a team in a fast-paced office environment.
  • Notary public commission or willingness to obtain one.


Highly preferred: 

  • Bachelor’s degree in legal studies, public administration, criminal justice, or related field.
  • Familiarity with Florida public records law (Chapter 119), legal terminology, and court procedures.
  • Experience with e-filing systems, legal case management software, or public records tracking systems.
  • Relevant certifications—such as a paralegal certificate, Certified Legal Secretary (CLS), or Microsoft Office Specialist (MOS)—are a plus. 



Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI.  Driver Licenses Examiners must meet the background standards outlined in Florida Statute 435.04, and Federal Regulations 384.228 and 1572.103.  This includes, but is not limited to, not having any criminal convictions for alcohol or drug-related offenses within 10 years prior to employment and maintaining this throughout employment.
